Partners In Health (PIH) is looking for a detail-oriented, results-driven Award Manager, remote in the U.S or Canada, fluent in French and English, with at least 5 years of project management experience in international development that includes stewarding partner relations for complex and high-compliance awards. We are looking for someone with strong cross-cultural competence and superb interpersonal and organizational skills to provide strategic award management guidance and support to PIH teams implementing projects at PIH care delivery and academic sites.
Based at the PIH coordination site, in Boston, MA, or remote in the U.S, the Award Manager will serve as a focal point for award management with project teams, donors, and other key project partners. They will work closely with technical, operational, and administrative colleagues to establish and maintain strong management structures to ensure deliverables are on scope, on schedule, on budget, and in compliance with contractual requirements and donor and PIH policies.
PIH expects the Award Manager to work independently with limited supervision, reporting to the Associate Director of Award Management. French fluency is required for this position.
Responsibilities:
For a specific portfolio of projects:
- Act as primary point of contact with external stakeholders (donors and other project partners) and internal stakeholders (PIH leadership and administrative staff), representing PIH and the projects at meetings, ensuring appropriate, effective, and timely communication regarding project progress, challenges or changes, and promptly requesting any support or actions needed
- Ensure projects are adequately staffed, roles and responsibilities are clear, project staff understand organizational and donor requirements, project indicators and deliverables, and are prepared to perform project-specific duties
- Ensure project teams have strong award management structures, processes, and tools in place and regularly reviewed and updated, such as: communications plans, detailed workplans, reporting calendars, donor decision logs, activity change logs, internal decisions logs, risk management logs, procurement trackers, and subrecipient monitoring plans; provide training and ongoing guidance on these tools as needed
- Facilitate and document project decision-making processes, including leading regular project review meetings to assess progress, review spending, identify challenges, resolve issues quickly and effectively, develop and monitor action plans, and ensure that project objectives, outcomes, and deliverables are met on time, on scope, and on budget
- Lead development of high-quality donor reports, coordinating reviews, editing, and disseminating reports and other documents on time and in line with donor requirements
- Provide ongoing compliance support to project teams, monitoring quality control of project documents and deliverables, reviewing and monitoring subrecipient scopes of work, progress updates, and reports, and preparing for and responding to donor-required audits and close-out requirements
- Coordinate with grant contracts team on preparation of contractual project documents, including subagreements, purchase orders, consultancies, memoranda of understanding, and identifying need for, requesting, and facilitating negotiation of contractual amendments as needed
At the PIH organizational level:
- Support development of PIH organization-wide initiative to strengthen award management practices across all sites
Qualifications:
- Bachelor’s degree required; Master’s degree preferred
- Fluency in French is required
- At least 5 years of project management experience in international development, including stewarding partner relations for complex and high-compliance awards
- Knowledge of major bilateral, multilateral, and large foundation rules and regulations
- Experience leading diverse project teams across cultures and competencies
- Excellent project management skills
- Strategically minded and adept at determining the most critical path to achieve goals
- Adept at developing and adapting project management processes and tools
- Strong problem-solving skills and qualitative and quantitative analysis capabilities
- Superlative organizational skills and highly attentive to detail
- Excellent written and oral communication skills, including editing skills
- Ability to present complex information in an organized, logical, and concise manner
- Exemplary interpersonal skills; ability to collaborate effectively with diverse stakeholders across departments and countries, under demanding and shifting timelines
- Strong analytical and computer skills and comfort with financial systems
- Proficiency with Microsoft Office (Excel, Word, PowerPoint, Teams)
