Job Description
We are currently seeking a HR Assistant as part of our dynamic team in London.
How you will contribute:
Provide comprehensive administrative support for the day-to-day operations of Human Resources. Liaise closely with the Human Resources Manager and other departments throughout the organisation providing effective HR support service to the Subsidiary.
Administrative:
Manage and update the organization charts on a regular basis.
Produce employee reference requests.
Establish, maintain and control employee files, correspondence, and reports in compliance with applicable legal and company standard requirements.
Administer the HRIS process on Workday for new starters, leavers, contract changes and parental leave.
Provide administrative support for employees across the region on life cycle processes including new starters, leavers, contract changes and the monthly payroll and ensure payroll are informed in a timely manner.
Collect all information required to support the monthly payroll cycle (timesheets, commissions and bonus files). Liaise with the Kering SSC Payroll team regarding payroll cut-off dates for store-based staff.
Liaise with the Kering SSC HR Team to ensure HR documents are issued within designated time frame.
Support the HR Manager with any ad hoc administrative duties or projects as required.
Employee Relations
Establish strong working relationships with both head office and store managers and provide support to all employees.
As appropriate, lead or support the HR manager on conduct, capability or grievance cases, advising and guiding managers through relevant policies in line with current employment law.
Produce high quality, concise documentation for ER case work and issue documents and letters within the designated timescales.
Demonstrate a “can do” attitude towards complex ER cases and a willingness to develop knowledge of case law and best practice.
Provide note taking support for HR meetings.
Conduct exit interviews for all leavers and collating data for reporting purposes.
Assist employees with any company benefit claim issues or concerns.
Recruitment & Onboarding:
Support recruitment activity by sourcing profiles and interviewing candidates for junior roles.
Support with creating consistent and fair assessment templates and materials to aid effective recruitment practices.
Promote equal opportunities by maintaining the Vacancy Log, updating the vacancies tracker on a weekly basis and ensuring that retail and corporate roles are advertised internally and externally.
Send communication about recruitment to relevant parties (Kering SS, payroll, hiring managers).
Link the Kering recruitment process to an efficient brand on-boarding and induction process.
Conduct HR check-in meetings with new starters and their Line Managers during their probationary period and pass feedback on to the HR Manager.
Who are you?
1- 2 years similar HR experience within a fast-paced high volume, commercial environment.
Experience within the luxury retail or fashion industry highly desirable.
Passion for HR and desire to contribute to the success of the Brand.
A people person, with excellent interpersonal skills and proven ability to build and maintain relationships easily.
A can-do attitude with a proactive mindset and ability to work on own initiative.
Excellent attention to detail, time management and organizational skills.
Customer Service Focused.
Excellent Communication skills, fluent in spoken and written English: accurate, concise and engaging.
Experience using HRIS (Workday preferred)
