Position Description:
Job Summary: Under the supervision of the Operations Manager, the Building Coordinator is responsible for day-to-day activities (building operations. security and safety and tenant relations) assigned building(s). Major duties include the coordination of security oversight with UCPD, monitoring building systems such as elevators, surveillance and access control systems, ; reading and operating fire alarm panel systems; and assisting management, tenants, and contractors as needed with repair and construction services.
Incumbent is well versed in understanding and communicating best practices and accepted standards to building management, staff, tenants, patients, and visitors. This position must maintain constructive relationships with a variety of campus partners, local and regional law enforcement, and external security experts.
Department Summary: The UCLA Asset Management Department provides full-service property management for University-owned office buildings in Westwood (five buildings containing 1,000,000 SF, occupied by 160 University tenants and generating $42M of annual revenue), plus limited-service property management for 60 other University-owned properties around Southern California.
Department Teams: The department is structured into teams performing these functions:
**Operations: Tenant relations, repairs, maintenance, engineering, janitorial, security, fire-life-safety, parking and PCI compliance, work orders, TSRs and FSRs, budgets, variance analysis, and tenant construction project coordination.
**Accounting: Property accounting, including rent billing and collection; purchasing, POs, and A/P; cash management, closing, reconciliation of recoverable expenses, variance analysis, adjustments, accruals, NPEARS and GL management, property accounting in Yardi, budgeting, financial transactions, project accounting and close-out, and financial analysis.
**Financial: Campus-wide real estate projects, inter-department coordination, financial analyses and problem solving, leasing, acquisition due diligence, plan funding for capital maintenance, strategic and business plans, and data management for off-campus owned properties.
**Contracts: Administration of contracts for capital expenditures, tenant improvements, maintenance, repairs, and professional services, including those requiring public bidding, all in compliance with UC Policies and Procedures for public contracting.
**Construction: Project manage tenant improvement construction jobs and contractors; supervise major maintenance jobs in collaboration with Engineering Team, coordinate activities of CPM vendors, and TI and MM project planning and reporting.
