Zinc works with a broad range of governmental, NGO, and private sector clients, including the UK Home Office (HO); the UK Foreign, Commonwealth and Development Office (FCDO); the United States Agency for International Development (USAID); the U.S. Department of State (DOS); UN agencies and missions; and foundations.The Pipeline and Proposal Manager will play a crucial role in supporting Zinc’s pipeline management and proposal development processes for US- and UK-funded development and security projects. This position requires strong organizational skills, attention to detail, and the ability to work in a fast-paced environment. The position will report to the Senior Director for Business Growth and Innovation and be based in London.What you’ll be doing…1) Proposal and Pipeline Management (80%).a) Pipeline management and opportunity identification: Monitoring funding announcements and calls for proposals – including from the US and UK Governments, foundations, and other potential clients.b) Go/no-go decision facilitation: Preparing briefings to inform go/no-go decisions based on organizational fit, capacity, strategic alignment, and profitability.c) Client engagement: Clarifying requirements and building relationships with clients.d) Proposal and concept note team formation: Assembling a proposal development team for each effort, including a proposal lead, strategist and writer, costing analyst, proposal coordinator/manager, and reviewers.e) Proposal management; project managing the end-to-end development of proposals from scoping through kick off, development and submission.f) Partner identification. Identifying and engaging local and international partners, including through early scoping calls, pre-teaming agreements, and teaming agreements.g) Proposal and concept note template development: Creating an initial template for proposals and concept notes that is structured according to client evaluation criteria and includes 1) page limits, 2) sub-sections, and 3) assigned writers.h) Proposal and concept note kick-off, coordination, and review meetings (including pink reviews, red reviews, and gold reviews): Developing agendas for these meetings, while also scheduling, facilitating, and recording follow-up actions off the back of them.i) Proposal and concept note budgeting coordination: Working with assigned pricing analysts to ensure the budget tracks the proposal/concept notes’ strategies and activities.j) Proposal and concept note writing: Authoring key sections of proposals and concept notes, including corporate capabilities, past performance references, programme and stakeholder management, duty of care, social value, handover and exit strategy, and quality assurance.k) Proposal and concept note review and quality assurance: Overseeing the internal review process to ensure proposal quality and compliance.l) Proposal and concept note submission: Finalizing and submitting the proposal according to client guidelines.m) Follow-up: Responding to client queries and preparing for potential negotiations.n) Project kick-off support: Liaising with the delivery team to ensure relevant proposal outputs and learnings are incorporated into the project kick-off meeting and delivery phase.2) BD Knowledge Management (10%).a) Oversee knowledge management initiatives related to concept notes, proposals, and BD recruitment. This includes filing BD documents in appropriate online files and maintaining consistency across the business.b) Collect change stories from project managers and strategists, storing them in online filing systems and recalling them for use on concept notes and proposals and in presentations to clients.3) General Support and Oversight (10%)a) Develop compelling decks for clients to showcase Zinc’s programming and services. Decks will include clear and compelling change stories from Zinc projects and be tailored to the client and opportunity.b) Mentor other Zinc staff in business development.RequirementsWhat we need from you…· Bachelor’s degree in international development, communications, business administration, or a related field.· At least 6 years’ experience in proposal coordination and management, proposal writing, or a related field.· Knowledge of procurement processes, including those of the UK FCDO, USAID, and/or DOS.· Experience working with key US and FCDO frameworks including the CSSF/ISF and USG MAS.· Strong written and verbal communication skills in English.· Excellent organizational skills and attention to detail.· Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).· Ability to work under pressure and meet tight deadlines.· Strong interpersonal skills and ability to work in a team environment.· Willingness to occasionally work outside of regular business hours to meet proposal deadlines.· Knowledge of communications and campaigning, media development, and/or information integrity is preferred.Conditions of EmploymentCandidates who receive a job offer will be required to:· Disclose any previous disciplinary action against them resulting from a substantiated safeguarding (including any breaches involving trafficking- related activities) or workplace investigation.· Undergo background checks including employment verification, sexual offender registry (as available), identity confirmation, and anti-terrorism vetting.Area of SelectionWe’re committed to hiring a diverse workforce from different professional and cultural backgrounds, and to that end we encourage a variety of people to apply to join our company to represent the diverse range of subjects associated with our projects.
