The Business Coordinator function supports the Fuel Program Division in their planning, execution and close-out of complex, high-value and high-hazard projects. Under general direction, the Business Coordinator provides business and administrative support to the Manager, Program Management, and other management and staff as applicable in the FPD.The Business Coordinator is a support function that adds value for our stakeholders by (i) coordinating the preparation of operational plans across the Program, including tracking and documenting progress; (ii) compiling Dashboards and summary documents by administering and processing data; (iii) providing support for the development of programmatic documentation, in alignment with the procedures developed by the other Missions & Compliance Programs; and (iv) driving for continuous improvements to the planning process, while ensuring compliance with regulatory and corporate requirements.What you will be doing!
Key activities include:Program Management Support: planning, procurement, data analysis and validation within a team environment.
- Support the Program Manager in leading short term and long term program planning requirements such as the APWB, 5 Year Plan, 10 Year Plan, and Funding.
- Support Procurement planning by validating program and project reporting ensuring alignment between project plans and monthly reporting.
- Periodically review requirements, processes and standards to ensure continuous improvement of the Fuel Program.
- Support the creation of processes and tools for the Program (i.e. use of SharePoint, Excel, Power BI).
Reporting Support: developing reports/dashboards, presentation packages, graphs, pivot tables.
- Support the Program Manager with coordinating performance reporting for the Fuel Program (i.e. the VP report, Monthly Status Reports, etc.) to clearly articulate emerging issues and communicate planned courses of action using dashboards, presentations, graphs and pivot tables.
Administrative Support: effective communication, data management, SharePoint management and other administrative support as required.
- Facilitate email communication between service groups and project teams (i.e. ERM MPO, PMO, etc.) to ensure consistent and effective communications.
- Assist in document management.
- Manage the Program Management SharePoint site to ensure content is organized, aligned with service organizations, accessible and contains accurate information for the Fuel Program Team.
- Completing other duties, as assigned, and providing general support to the division, as required.
What we are looking for:Education:
· Post-Secondary Degree or Diploma from a recognized educational institute combined with a minimum of 2 to 3 years of related and progressive experience; or equivalent combination of formal training with a minimum of 5 years of related and progressive experience is required.
· Areas of study that would be an asset for this position include business administration, commerce, science and engineering.Experience:
· Experience in Program Management Support: planning, procurement, data analysis and validation within a team environment.
· Experience supporting project and program reporting: developing reports/dashboards, presentation packages, graphs, pivot tables.
· Experience in administrative support: effective communication, data management, SharePoint management and other administrative support (ATOM and Microsoft Office).Knowledge, Skills and Abilities:
· Highly self-motivated and team player. Comfortable performing duties based on broad general direction and minimal oversight and willing to work cooperatively with others.
· High level of proficiency in the use of Microsoft Office (Excel, PowerPoint, SharePoint).
· Knowledge of Primavera 6 (P6), PCRS and PowerBI is an asset.
· Expected to be a self-starter and has the ability to anticipate needs of the Program Management team and take action without being prompted.
· Good interpersonal, oral and writing skills to interact with team members, project stakeholders, CNL management, and client organization.
· Will participate in planning meetings, project meetings, safety meetings, budgetary meetings and branch meetings.
· Will interact with a diverse group of CNL staff (i.e. Directors, Managers, Program Authorities, Program Managers and Project Managers).Security clearance eligibility required: Level 2 Secret which has a minimum requirement of 7 years of verifiable history in Canada, Australia, New Zealand, United States and/or the United Kingdom.
