This includes coordinating with couriers, maintaining accurate records, and ensuring delivery standards are met. The Mailroom Co-ordinator will also provide administrative support to the facilities team as needed.Responsibilities:Mail and Package Processing:

  • Receive, sort, and distribute incoming mail, packages, and deliveries to appropriate departments and individuals in a timely manner.
  • Ensure that all mail and packages are accurately logged, labelled, and tracked using the designated tracking systems.
  • Notify recipients of new deliveries and arrange for pickup or delivery as required.
  • Coordinate with couriers and postal services to schedule pickups and deliveries, ensuring compliance with all company procedures and guidelines.

Recordkeeping and Documentation:

  • Maintain accurate records of all incoming and outgoing mail, packages, and deliveries.
  • Ensure that all documentation, such as delivery receipts, invoices, and shipping manifests, are properly filed and archived according to company policies.
  • Generate regular reports on mailroom metrics and performance indicators for management review.

Equipment and Supplies Management:

  • Ensure the functioning of all mailroom equipment, such as postage machines, scanners, and sorting machines, by coordinating repairs and maintenance when necessary.
  • Monitor and replenish supplies, such as envelopes, boxes, labels, and postage, to ensure smooth operations.
  • Evaluate and recommend improvements to mailroom processes and equipment to enhance operational efficiency.

Mail Routing and Redirection:

  • Redirect misaddressed or undeliverable mail to the appropriate departments or individuals.
  • Coordinate with the Facilities Manager and relevant departments to update mailing lists, addresses, and contact information as needed.
  • Implement and enforce mailroom policies and procedures to minimize errors and ensure compliance with postal regulations.

Customer Service and Communication:

  • Provide exceptional customer service to internal employees and external contacts by addressing inquiries, resolving issues, and providing accurate information regarding mail and package deliveries.
  • Establish and maintain effective communication channels with other departments, facilities staff, and couriers to ensure smooth coordination and collaboration.
  • Assist with general administrative tasks, such as filing, data entry.

Meeting Room Presentation and Supplies.

  • Ensure daily checks of meeting rooms ensuring presentation of room is complete with table and chairs set, whiteboards clear, whiteboard stationary stocked along with any other specifics requested by Facilities Management.

Qualifications:

  • High school diploma or equivalent; additional vocational or professional training in mailroom operations or facilities management is a plus.
  • Previous experience working in a mailroom or similar role within a large organization is highly desirable.
  • Proficient computer skills, including experience with Microsoft would be a benefit.
  • Excellent organizational and time management skills, with the ability to prioritize tasks and handle multiple responsibilities simultaneously.
  • Strong attention to detail and accuracy in processing mail and maintaining records.
  • Exceptional interpersonal and communication skills, both written and verbal.
  • Customer service-oriented mindset with a proactive approach to problem-solving.
  • Ability to lift and carry moderate to heavy packages, as well as perform physical tasks, such as standing, bending, and walking, as required.
