POSITION SUMMARY – This position is based in Arlington, VA

This full-time position with the Center for Natural Climate Solutions (NCS) is a one-year, fixed-term, position, with a conditional possibility to extend to 1.5 or 2 years. Candidates should be independently well-organized, comfortable with detailed computer work in a hybrid (remote and in-person) environment, and have a personal or professional interest in a career in administrative work, program organization, or international conservation, natural climate solutions, or international development, even if they do not have direct experience in these fields.

Tackling climate change is a team effort, and the Center for Natural Climate Solutions will rely on the Coordinator to complete necessary administrative tasks to streamline the operations of a program of 40 people, under the supervision and mentorship of the Program Manager.

The coordinator will spend 70-90% of their time on routine, valued administrative tasks such as writing team emails, scheduling meetings, processing vendor payments, summarizing materials and preparing communications.

The Coordinator will spend 10-30% of their time supporting a thematic NCS project, selected based on departmental opportunities and their own skills and professional development interests. Please note that:

The project would fall under one of the following themes: NGO Climate Strategy, Communications, International Climate Policy, Science and Monitoring, Financial Models, Blue Carbon, Restoration, Agroforestry, Diversity Equity and Inclusion, Corporate Relationships.

Initially, the Coordinator will work only on building their network and efficiency with administrative tasks. Later on, the Coordinator will continue the same administrative responsibilities while beginning project work.

The Coordinator will have access to Conservation International’s wealth of professional development opportunities, including eCornell courses, and they are encouraged to take one or more classes to support their professional development.

RESPONSIBILITIES

  • Communicate punctually and reliably over email and in meetings during your working hours, which will be 35 hours per week on a consistent schedule to be decided with your supervisor and team.
  • Work nimbly to act on, acknowledge and schedule, or redirect most requests within one business day of receipt and under the supervision of the Program Manager, identify and prioritize time-sensitive requests, to ensure operational services within the department run smoothly.
  • Schedule meetings, take meeting notes, and coordinate meeting follow-up. Respond to meeting requests for executive staff.
  • Provide creative and writing support, including drafting newsletters, presentations, all-hands emails, and related communication efforts as needed.
  • Translate or proofread occasional non-English program communications, if your language skill set allows.
  • Maintain the department calendar, organizational chart, and filing system.
  • Organize logistics such as virtual meeting links, room reservations, catering, ordering supplies, mailing, and printing for trainings, workshops, and social events
  • Assist recruitment as needed by reviewing applications and scheduling interviews.
  • Work with the Senior Finance Manager to process vendor payments in BusinessWorld, travel reimbursements, and related expenses.
  • Assist staff by answering basic questions about CI policies and procedures as they pertain to operations function.
  • Work with IT staff to track IT hardware and equipment as needed.
  • Prepare expense reports. Make travel arrangements and handle travel expense reports for executive staff.
  • Perform related duties as assigned.
  • Does not manage staff but assists peers and may direct the work of interns, volunteers, contractors, and others.
  • Does not have authority to allocate resources or approve budget expenditures.

WORKING CONDITIONS

  • Flexibility in the work schedule to accommodate time zone differences may be occasionally necessary.
  • Occasional travel for team functions may be required.

QUALIFICATIONS

Required

Work Habits

  • Total hours will be 35 hours per week, but these hours can be flexible. This does not need to be a traditional 9 am-5 pm, Monday-Friday schedule.
  • Availability on most Wednesdays to work in-person in Arlington, VA for 5-7 hours between the hours of 8 am-6 pm EST.
  • Availability for 3-4 weeks a year to work 4 days a week in-person for 7 hours a day.
  • Organized, punctual, and self-motivating in a primarily remote and international workplace.

Education:

  • High School/Secondary School Education or equivalent experience.
  • 2 to 4 years of experience.
  • The following kinds of candidates are especially encouraged to apply:

Skills:

  • Proficient or Fluent in written and verbal English.
  • Experience with Microsoft Word, Excel, PowerPoint, OneDrive, or other online file-sharing software.
  • Quick and independent or attentive learner of new software systems.
  • Prompt, tactful, and concise communication skills while email-writing and note-taking.
  • Attention to detail and patience to reliably complete repetitive tasks using spreadsheets, online folder systems, and emails.
  • Respectful, courteous organizer who values cultivating belonging in a multicultural, diverse work team environment.
  • Comfortable managing multiple duties and adapting to changing priorities.
  • Ability to work under general supervision and take initiative to solve problems under the supervisor’s direction.

Preferred

The following are not required but would help your application stand out:

  • Multilingual, especially in Spanish, Portuguese, Bahasa Indonesian, or French.
  • Experience scheduling and writing agendas for meetings, trainings, or workshops.
  • Experience organizing or facilitating creative social events for any audience, online or in-person.
  • Full- or part-time experience in executive assistance, accounting, or customer service, especially in a remote environment.
  • Experience completing expense reports or vendor payments, especially in Concur or BusinessWorld.
  • Creative writing or comedy experience that could translate to engaging newsletters, presentations or social activities.
  • Understanding of data management best practices (version control, quality assurance, quality control) and advanced Excel skills such as pivot tables, macros, conditional formatting, formula writing.
  • Personal or professional experience promoting diversity, equity, inclusion, and justice in your community.
  • Specialized skills related to a potential project theme, such as data analysis, coding, or GIS skills, or skills to develop business models or financial models, and experience partnering with Indigenous peoples’ groups.
