Job Description:This position is for the 2025-2026 school year.Basic Function:Perform advanced-level secretarial duties requiring independent judgment and analysis for theFacilities Director. Organize and coordinate office activities, communications, pay accounts, andbudget.Essential to this position is the ability to: multi-task provide excellent customer service be a selfstarter work well on a teamDuties:
1. Maintains files for the Director of Facilities.
2. Prepares, distributes and maintains correspondence, lists, tabulations, etc. for programs
or responsibilities.
3. Compiles necessary materials pertinent to the opening of school for distribution.
4. Distributes daily mail.
5. Distributes information to maintenance employees, Board personnel and school principals
as needed.
6. Relays maintenance requests to the Director of Buildings & Grounds.
7. Prepares material for any meetings attended by the Director of Building of Grounds.
8. Checks time sheets of maintenance employees for completeness and accuracy.
9. Receives all invoices and checks their accuracy.
10. Prepares all purchase orders and invoices to meet timelines for payment.
11. Maintains contact with vendors/contractors to insure accuracy of order and timely
delivery of orders.
12. Assists the Director of Buildings and Grounds with compiling data and statistics necessary
to complete required reports.
13. Prepares all bids, tabulation sheets and contracts.
14. Prepares agenda items for Board of Education meetings.
15. Updates and maintains the ACT 1000 Maintenance Management System which tracks
work orders, utility bills and maintenance supplies expenditures.
16. Answers telephones.
17. Punctual and regular in attendance.
18. Performs related duties as assigned.Knowledge of:
– Modern office practices, procedures and equipment.
– Applicable sections of Kentucky Administrative Regulations and other applicable laws.
– District organization, operations, policies and objectives.
– Organization, rules, regulations and programs related to an assigned office or function.
– Operation of a computer terminal and data entry techniques.
– Software applications used by the district, including word processing and spreadsheets.
– Financial and statistical record-keeping techniques.
– Basic budget monitoring and control.
– Telephone techniques and etiquette.
– Financial and statistical record-keeping techniques.
– Correct English usage, grammar, spelling, punctuation and vocabulary.
– Interpersonal skills using tact, patience and courtesy.Ability to:
– Perform advanced-level secretarial duties requiring independent judgement and analysis.
– Plan, organize and coordinate office activities and communications to relieve the director of
routing administrative and clerical details.
– Work independently with little direction.
– Type at an acceptable rate of speed.
– Analyze situations accurately and adopt an effective course of action.
– Compose independently or from oral instructions letters, memos, bulletins or other material.
– Read, interpret, apply and explain rules, regulations, policies and procedures.
– Maintain records and prepare reports.
– Communicate effectively both orally and in writing.
– Meet schedules and time lines.
– Establish and maintain cooperative and effective working relationships with others.This position is for 8 hours per day and 260 days per year.Contracted days will be adjusted depending on the start date.(Considered full-time with benefits – see below)

  • Must have a high school diploma or equivalent and provide a copy to HR uponrecommendation to hire.
  • Experience: Two years of increasingly responsible secretarial and clerical experience
