Reporting to the Lead Specialist Nurse Colposcopist, the post holder will provide an efficient, effective and comprehensive secretarial support service within Care Group 1 Healthy Lives.The post-holder will be responsible for carrying out the secretarial support aspects of the Colposcopy Service across both North Tees and Hartlepool hospital sites under the supervision of the Colposcopy Administrator. They will be required to assist in ensuring that a safe effective and user-friendly service is delivered, which meets the recognized national standards for Colposcopy and will work closely with both Medical and Nursing teams within the service.To have an overview of the cervical screening programme along with national and local outpatient booking guidance.Be fully conversant with and adhere to all work related policies, procedures and guidelines, ensuring that all work outputs are completed as required and that all related targets and timescales are met and to assist in the provision of a comprehensive secretarial and administrative support service to clinicians and their associated staff within the Colposcopy serviceUse all appropriate technologies and equipment to their optimum functionality to assist in the provision of an efficient, effective and comprehensive administrative and secretarial service to support the provision of care to patients.Main duties of the job

  • To ensure the timely and effective processing of all patient related information, including clinic letters, reports, referrals, appointments, minute taking at colposcopy associated meetings including Multidisciplinary Team meetings (MDT).
  • Assisting in the monitoring of the generic service e-mails to ensure that all incoming e-mails are dealt with on a daily basis and that any matters of key importance are escalated to appropriate staff as required and in the processing of incoming requests as directed by the clinical team
  • Deal with any queries from service users including patients and their representatives, in a manner that is consistent with legislation, policies and procedures whilst demonstrating understanding, empathy and discretion, checking patient and GP demographic details when in contact with patients and taking accurate written messages and passing more complex queries to relevant staff members where appropriate.

  • GCSE at grade C or above in Mathematics Key Skills at level 2 in Numeracy (or equivalent)
  • GCSE at grade C or above in English Language, or Key Skills at level 2 in Literacy (or equivalent)
  • Typing or word processing qualification at RSA II (or equivalent)
  • Medical Terminology Qualification
  • NVQ at level 3 in Business Administration (or equivalent)

Desirable

  • RSA III or equivalent typing qualification
  • IT qualification (ITQ at level 2 or equivalent)

ExperienceEssential

  • Demonstrable experience of clerical work involving computerised systems
  • Demonstrable knowledge of medical terminology
  • Demonstrable experience of using audio transcription systems

  • Previous Secretarial experience
