XEIAD, part of the BES Group are recruiting for a Commercial Assistant.

Reporting into the Commercial Manager, the Commercial Assistant is responsible for supporting the day-to-day Commercial Management function for assigned contracts.

Alongside other colleagues, this role is linked to the Commercial Management of the Network Rail Structure Examination Contracts for Western, Southern, Eastern and North West & Central, the National Highways Structure Inspection Contracts for the South West TST and the East HRE Contracts, plus the Commercial Management of other major contracts.

Following all commercial and operational cost control processes, demonstrate competent commercial management behaviors, accurately record revenue and cost against contracts and ensure all billings are completed on time and are correct.

Support the commercial processes for assigned contracts ensuring that Applications for Payment and Invoices are accurate and are approved on time, and that Supply Chain engagement, including supplier on-boarding, subcontract agreements and works order instructions are processed in accordance with supply chain processes.

Engage with Operational Teams to regularly review cost management processes.

Build strong relationships with other departments, providing support as required.

Build effective relationships with colleagues throughout XEIAD as well as with suppliers and clients.

Key Responsibilities

  • Support the Application for Payment and Invoicing processes for allocated contracts, ensuring timely submissions in line with client expectations and alongside accuracy of filing.
  • Support the monitoring of Project Fees against Client Purchase Order values, escalating as required.
  • Follow the Supplier Works Order process ensuring that the appropriate requests, approvals and receipting is carried out accurately.
  • Support the on-boarding processes for suppliers including liaison with other departments including HSQE, Procurement and Finance.
  • Support the cost allocation and reconciliation processes to ensure that project financial reports are accurate and that cost and revenue is matched.

People

  • Follow all BES Group and XEIAD policies, procedures, resources and guidance in all commercial decisions.
  • Develop own commercial professional skills, support peers and support the wider Operational Teams to build commercial management competence within the business.

Customers / External Stakeholders

  • To engage professionally with clients on commercial matters creating strong relationships with key individuals.
  • To engage proactively with supply chain, promoting best practice and monitor supplier performance.
  • To work closely with Operational Teams to manage client relationships

Essential Qualifications & Skills

  • Graduate/Student Member of relevant Institution (e.g. RICS) (desirable)
  • UK Driving licence
  • 2+ years in a Commercial position
  • Supporting the commercial management of contracts with a minimum £1m commercial responsibility
  • Working knowledge of NR4 and NR3 contracts(desirable)
  • Working knowledge of NEC3/4 contracts(desirable)
  • Experience of Applications for Payment, Client Works Instructions and Change Control
  • Experience of Supply Chain management including instruction of Works OrdersMS Office proficiency
  • Proficiency in accounting software
  • Organisation and time management skills
  • Communication skills-verbal and written
  • People-management skill
