Job SummaryThe Commercial Invoicing Assistant actively and consistently supports all efforts to simplify and enhance the Franchise/customer experience.Major Duties and Responsibilities

  • Track in excel all invoicing procedures by client as to what is needed per their request.
  • Knowledgeable on all work order systems that require uploads for invoicing.
  • Work with One Note to get data needed for special client request.
  • Work with supervisor to assist with new clients and special requests.
  • Run any special reports required by National Accounts and Commercial Clients.
  • Be the liaison between Accounting, Commercial Clients, and the franchises.
  • Run accounting department reports as requested.
  • Responsible for keeping the Policy & Procedures for position accurate and up to date.
  • Make sure accounting phones are always covered, including breaks and lunches.
  • Assist with special projects as assigned.

Required Qualification (Knowledge, Skills, and Abilities)

  • Ability to read, write, and speak the English language to communicate with employees, customers, suppliers, in person, on the phone, and by written communications in a clear, straightforward, and professional manner.
  • Related Accounting experience a plus.
  • Strong problem-solving and troubleshooting skills.
  • Highly organized and proficient in multi-tasking.
  • Proficient in Adobe and Microsoft Office.
  • Ability to provide thorough reports and documentation of multiple activities.
  • Proficient personal computer skills including electronic mail, record keeping, routine database activity, word processing, spreadsheet, etc.
  • Must be flexible with high reliability and able to maintain strict confidentiality.
  • Ability to work independently and on a team within a fast-paced environment
  • High school diploma or GED equivalent required.

Working Conditions

  • Fast-paced, high pressure office environment.
  • Standard working hours, based on a 40 hour work week.
  • Additional working hours required as needed to complete assignments and projects on schedule.
  • Minimal travel as required for business needs.
