Background & Rationale

A few years ago, the Retention Team, from Individual Giving area, within PFP, has adopted the strategy of sending monthly printed direct mail to donors who do not make monthly donations, in order to enhance results and build loyalty among occasional donors through monthly payslips. This action considerably increased the results of one-off donations. In addition, direct mailing occurs in specific campaigns and also for specific actions with monthly donors, in the case of extra donation campaigns.

 

Purpose

This Term of Reference aims to select a consultant for the creation and production of direct marketing materials with our donors and potential donors in online and offline channels aimed at improving the performance of UNICEF campaigns Brazil.

 

We aim to strengthen the capture, retention and optimization of monthly and one-off donors through Direct Marketing Campaigns and content to fundraise for UNICEF among new, current and potential Donors Activities.

 

Creation of concepts and design of a monthly package for direct marketing campaigns with the aim of attracting donors, through engagement of the target audience and appreciation of the campaign theme in accordance with the theme chosen by UNICEF;

 

PRODUCT

The service involves creation and/or adaptation of graphic design, layout, image processing, finalization and closing of digital files in low resolution, for possible dissemination via internet, and in high resolution, for graphic printing purposes.

 

The graphic project needs to project and enhance the theme of the chosen campaign in accordance with the theme of the UNICEF.

 

UNICEF ​​works with a general format of direct mail in a folded A3 folder or A4 letter package + A5 envelope and leaflets.

The consultant will also ensure that the finished documents are sent according to the necessary specifications to programmers, printers, analysts or other service providers designated by UNICEF for this campaign.

 

Under the supervision of the Retention Fundraising Associate the purpose of this consultancy is to produce contents for the official direct mail of fundraising campaigns addressed to Brazilian individual donors.

 

METHODOLOGY

For the services presented, the consultant must use its own equipment/materials necessary to carry out the tasks.

The consultant will be willing to contact sources and content in a legal manner under Brazilian laws, not committing illegal acts such as Plagiarism, misuse of credits or similar practices in non-compliance with UNICEF policy.

The consultant will follow all legal practices provided for by law, maintaining UNICEF’s name in full view of its potential donors.

The appropriate physical or electronic proof of the pieces must be provided to the focal point of production at UNICEF (Fundrasing Associate) before sending the final file.

1. Expected result: Produce, monthly, 2-3 designs based on UNICEF content for direct mail.

2. Expected result: Produce, annually, up to 30 visual products such as letters, envelops, folders, emails and other direct mail pieces to add to this direct mail campaigns.

PERFORMANCE INDICATORS

  • Punctuality in meeting deadlines.
  • Quality of the contents.
  • Timely provision of the deliverables.
  • Full adherence to the monthly workplans and diligences as agreed with supervisor.

Immediately upon signature of the agreement, the UNICEF supervisor and the selected individual contractor will meet for detailed discussion of the Work Plan and the quality criteria for product delivery. Regular meetings will also be scheduled at a distance or in person to follow up the activities defined in the Work Plan. If needed, revisions and alterations may be requested by UNICEF related to quality and technical depth parameters. Only after final clearance from the UNICEF Brazil the payment will be processed.

  • Bachelor’s degree in Design, Arts or related fields.
  • Teamwork and good communication skills.
  • Desirable background experience interacting with NGO’s, UN agencies or social entities.
  • Desirable previous experience in direct marketing campaigns (content and design).
  • Desirable previous experience producing digital contents.
  • Knowledge or interest in topics related to children’s rights and the work of UNICEF.
  • Experience in Adobe InDesign, Figma, Canva and similar design tools .

 

Language Proficiency

  • Fluency in Portuguese and basic English is required.

 

MINIMUM QUALIFICATIONS REQUIREMENT

  • Degree in Design, Arts or related fields.
  • A minimum of 5 years of professional work experience at national or international levels in Design.
  • Experience in UN system agency or organization is an asset.
  • Experience in designing contents online and offline.
  • Teamwork skills and capacity to work with tight deadlines.
  • Knowledge in the use of digital media tools and social media.
  • Experience in the production of materials for fundraising campaigns

FINANCIAL PROPOSAL 

The consultant must inform the price for delivery, that is, for each service performed. These main services are for direct mail package (which includes researching content on UNICEF social media, reports and official websites, text preparation, text revision, layout and finalization of the file for use by UNICEF according to the specified channel (printed or online) and also other visual products that may be produced in addition to the direct mail package.

General Conditions: Procedures and Logistics

  • Consultant will work from home using own equipment and stationery. UNICEF will provide office space for consultative meetings when needed.
  • Consultant’s, travel costs should be included in the consultant’s fee.
  • No contract may commence unless the contract is signed by both UNICEF and the consultant and mandatory courses are completed.
  • Consultants will not have any representative, certifying, or approving authority, or supervisory responsibilities or authority on UNICEF budget.
  • The consultant will work remotely on a delivery basis and prior authorization and/or clearance from UNICEF to engage in outside UNICEF activities is required.

Financial Proposal

  • Costs indicated are estimated. Final rate shall follow “best value for money” principle, i.e., achieving the desired outcome at the lowest possible fee.
  • A financial proposal including the fee for the assignment based on the deliverables and number of days must be submitted. Consultants are asked to stipulate all-inclusive fees, including lump sum, administrative cost, travel cost and subsistence costs, as applicable.
  • The payment will be based on submission of agreed deliverables. UNICEF reserves the right to withhold payment in case the deliverables submitted are not up to the required standard or in case of delays in submitting the deliverables on the part of the consultant.

Insurance and health coverage

  • The contractor is fully responsible for arranging, at his or her own expenses, such life, health, and other forms of insurance covering the term of the contract as he or she considers appropriate.
  • The contractor is not eligible to participate in the life or health insurance schemes available to UNICEF and United Nations staff members.

Restrictions

  • Consultants may not receive training at the expense of UNICEF. Notwithstanding, consultants must complete the applicable mandatory trainings before the signature of the contract. 
  • In case of government officials, the contract cannot be issued without prior written clearance by the Government​ or unless on leave without pay.

Individuals engaged under a consultancy will not be considered “staff members” under the Staff Regulations and Rules of the United Nations and UNICEF’s policies and procedures and will not be entitled to benefits provided therein (such as leave entitlements and medical insurance coverage). Their conditions of service will be governed by their contract and the General Conditions of Contracts for the Services of Consultants. Consultants are responsible for determining their tax liabilities and for the payment of any taxes and/or duties, in accordance with local or other applicable laws.
