Job SummaryJob DescriptionWhat is the opportunity?As a member of the Strategic Initiatives and Enablement Team, the Coordinator, RBC Innovation Hubs, will provide daily support to the Innovation Hubs across the country (Halifax, Montreal, Calgary, and Vancouver). In this role you will support administrative, event, and facilities management across the Hubs working on internal/external events, key real estate projects, vendor relationship management and communications.What will you do?
- Demonstrate resourcefulness and effectively identify and resolve problems; including dealing with ambiguity and proactively take ownership of activities and processes to ensure the Strategy Enablement and the Hub teams meet event or team deliverables.
- Coordination and management of the premises, seating plans, expenses and other Hub requirements like health and safety and Business Continuity Planning. This will include management of office equipment and real estate, including building administration and vendor support.
- Provide management and logistical oversight of real estate and relocation requirements for all Hubs (particularly Vancouver during move to permanent premises.), including all aspects of facilities management (lockers, access cards, etc.)
- Support the annual Halifax Invest Nova Scotia payroll rebate audit requirements and data, with internal partners and an external auditor.
- Coordinate and lead event logistics including room rentals, AV, catering and printing in support of the Strategy Enablement team, including the flagship employee appreciation events in the spring and fall across Hubs.
- Build and manage workback schedules and plans for projects and effectively communicate facilities and real estate updates to senior leaders.
- Manage vendor relationships across all Hubs, acting as central point of contact for our real estate teams, local landlords, property management company and individual department leads.
- Access card management and distribution for the Halifax, Montreal and Vancouver Innovation Hub employees including new hires, co-op/summer employees and oversight of temporary access cards for visitors and vendors.
- Streamline Hub operations processes regularly, to build efficiencies across the Hubs and lead the change management for updates with senior leaders and peers.
- Creation of documents for the team including meeting minutes, how-to guides and succession planning documents.
- Support the Hubs national communications strategies, drafting and publishing through national and local newsletters, blogs and the company intranet. Strong written and verbal communication skills are essential for this role.
What do you need to succeed?Must-have
- Ability to effectively navigate internal systems and technology, including strong Excel skills and MS Planning (or other Project Management software like Jira)
- Effective and proactive real estate problem solving skills
- Strong verbal and written communication and relationship building skills
- Excellent organizational and time management skills, with the ability to manage multiple priorities and stakeholders
- Ability to assess appropriate strategies, recommend decisions and ensure the best solutions are put into place
Nice-to-have
- Bilingual with understanding of current technology and support experience
- Experience within facilities management or support
