We are looking for a candidate with experience in administrative coordination, to join our team and be part of this exciting transformation.Reporting to the Director of Infrastructure Technology, the Administrative Coordinator acts as a specialist in the area of coordinating activities around contract renewals, purchasing, telephony tasks, certificate renewal management and billing verification to support the IT infrastructure team.Working closely with team members in Infrastructure, Procurement, Accounts Payable, External Vendors, Project Managers, Finance and Risk Management.CHALLENGES TO BE METTelephony Task ManagementIT Infrastructure Contract Renewal ManagementClose collaboration with multiple teams such as external vendors, accounts payable, procurement, project managers, finance, risk management and our technical teamsCreating Contracts and POs in Service NowDrafting documents as exceptionsCertificate renewal management; Reporting and collaboration with the infrastructure security team for renewal follow-upsVerify billing, generate reports, and identify any billing discrepanciesManage the relationship with our suppliers; Regular meetings to establish a close relationship with themPurchasing, soliciting quotes from multiple vendors, comparing, analyzing with requesters, negotiating to reduce our expensesCoordinate necessary meetings and follow up on tasks to be completedManage priorities across competing needs, often with tight deadlinesManage IT infrastructure team inventoriesWHAT WE ARE LOOKING FORAnalytical, structured and rigorous reasoning;Team player, efficiency and ability to adapt quickly to different situations;Ability to collaborate, organize, plan and manage priorities;Strong communication and interpersonal skills;Strong ability to write clear, concise and rigorous documents;Ability to work independently and under pressure;English and French, spoken and written;Bachelor’s degree in a relevant discipline or equivalent experience;3 to 5 years of experience in a similar role;Good knowledge of new technologies;Service NowThe MS Office SuiteMS Teams AdminCisco Call ManagerProudly one of Canada’s Top 100 Employers and one of Canada’s Best Diversity Employers, we are committed to fostering a diverse, equitable, inclusive and accessible environment where all employees can thrive and feel empowered to bring their whole selves to work.
