It operates as a retail center to provide academic course materials, services and products to students in support of the mission and financial goals of the university.About the RoleThe Course Materials Purchasing Specialist (CMPS) is responsible for operational efficiencies regarding sourcing and ordering of academic materials in the Cougars Campus Store. In order to meet the needs of faculty, staff, students, and visitors, this person will ensure the Campus Store is providing academically appropriate products that uphold the mission and vision of Mount Royal University. The CMPS will also maintain communications within the campus community as outlined in the Annual Purchasing Strategy, and will work closely with the Campus Store Manager to meet budgetary requirements. This position requires a high level of organization and attention to detail, superior customer service skills, and an understanding of how to work within a complex post-secondary environment within the functional responsibilities of a retail environment.Reporting to the Campus Store Manager, this position will work closely with all staff within the Campus Store. Although this position will primarily be responsible for purchasing, this person will also be expected to support the overall operational objectives of the Campus Store.Responsibilities

  • Develop, update and communicate regularly an annual purchasing strategy ensuring timelines and communication requirements are adhered to
  • Update and maintain tools used for item requests, and communications related to course materials
  • Input course material requests into ordering prediction documents and source requested items
  • Generate and send purchase orders (PO), maintain detailed records and make changes or modifications as needed
  • Analyze sales data and track KPIs to make informed purchasing decisions and ensure the needs of the campus community are being met
  • Set retail prices based on margin requirements outlined in the KNOB and taking into consideration all associated costs
  • Work with departments to ensure the timely arrival of accurate product, particularly resources to support the academic schedule
  • Ensure supplier return policies meet the needs of the Campus Store and coordinate the return of unsold products
  • Research vendors and items to ensure that our pricing is competitive and that our product diversity is at industry standards
  • Work with the Inventory Control Supervisor to maintain records and labeling for digital and physical course materials
  • Ensure the Campus Store software (NetSuite) is updated, and escalate technical software issues to the BRS Business Analyst/Systems Administrator
  • Write, draft and update any purchasing-specific SOPs and submit to the Campus Store Manager for approval
  • Assist the General Merchandising Purchasing Specialist with GM buying and provide back-up when needed
  • Act as first point of contact and inform the Campus Store Manager of any issues or concerns regarding course materials and liaise with other areas as needed
  • Generate monthly, quarterly, and annual sales reports

Qualifications

  • Two-year diploma from a University or equivalent or journeyperson ticket
  • 5 – 8 years of experience in the retail industry
  • 3+ years of Purchasing would be beneficial
  • A combination of work experience and retail industry knowledge would be considered
  • Understanding of Microsoft Office Suite with an intermediate to high knowledge of Excel is critical
  • Familiarity with POS software is essential
  • A high level of concentration and the ability to focus and prioritize competing priorities
  • Effective communication skills both verbal and written
  • Creative problem-solving experience and an adaptive solution-based mindset
  • proven research skills and ability to interpret findings on industry best practices
