Job Summary Provides administrative support and coordination activities for a team of people. With extensive knowledge of the job and policies/practices, performs a wide range of advanced administrative/operational assignments.Job DescriptionWhat is the opportunity?The EA will provide administrative support and coordination activities for the Vice President P&CB Compliance, Canada & Caribbean. This role will have extensive knowledge of the job and policies/practices and will be performing a wide range of advanced administrative/operational assignments.What will you do?

  • Supports senior executives within Compliance with their day to day activities including managing daily schedule, meetings, and administrative matters.
  • Manages and maintains calendars, coordinates meetings, conferences and travel arrangements for the Executive.
  • Acts as the Executive’s delegate for email and phone mail during absences, handles and forwards issues, prioritizing for VP’s action upon return. Researches and responds to routine inquiries and requests.
  • Prepares material needed for daily schedules and meeting bookings
  • Develops communications, meeting / conference materials, forms, documents, presentations, spreadsheets, and other record-keeping databases.
  • Coordinates and administers all requirements and maintains appropriate records in managing the department including preparing and verifying expense claims and invoices, monthly audit reconciliation of travel and other expenses, supplies, telecommunications, equipment and premises requirements, manage vacation tracking and producing / distributing monthly away lists.
  • Manages any ad hoc activities requested by VP, such as points awards programs, career conversations for enterprise programs, the team Connect site, and any new initiatives that the SVP participates in.

What do you need to succeed?Must have:

  • 5+ years working with Executives (Vice President & above).
  • Technically savvy; highly proficient in Microsoft Word, Power Point, Excel, Outlook.
  • Excellent verbal and written communication skills.
  • Excellent interpersonal skills, diplomacy, tact, positive can-do attitude.
  • Outstanding time management and organization skills.

Nice-to-Have:

  • Experience with Human Resources tool, Workday.
