What is the opportunity?

Serve as the Executive Assistant to the VP of a Global Technology group in the day-to-day management of the department proactively providing effective administrative support. Provide support to other department members as needed.

What will you do?

Act as a key contact for the Vice President that you will be supporting.

Manage inbox and calendar for VP to coordinate meeting proposals, action items and delegate inquiries. Understand priorities in order to manage calendar conflicts.

Exercise discretion, professionalism, and diplomacy in managing and coordinating meetings and Town Halls and work requests.

Work closely with leadership to manage day-to-day priorities aligned to key priorities.

Ensures the Business Continuity Plan for the Team is updated on a regular basis.

Assess priority and urgency of conflicting matters and redirect to staff where appropriate.

Ensure the needs of the VP are proactively identified and provide the required information/pre-read documents to complete duties.

Carries out verbal/written requests from Executive that may involve approaching other functional officers or calling them to obtain or impart information / seek data.

Meet deadlines and maintain a high level of confidentiality.

Manage and update monthly Organization Charts for Teams.

Organize video and in-person meetings, set up and coordinate business planning sessions, Town Halls, staff meetings, management meetings, and one-on-ones with direct reports.

Coordinates event planning (i.e., training, team building, and group offsite) including guest speakers, locations, and equipment resources.

Prepare presentation materials and meeting agendas, as required. Ensure relevant information is accessible, assembled, and prepared for meetings.

Verification Officer for expenses incurred by direct reports, including VPs Corporate Visa Expense Account, identifying and resolving any anomalies to ensure accordance with Bank audit policies and procedures is fully met.

Verification of Distribution History Reports (DHR).

Provides assistance to departmental staff with special projects and requests.

Reports general building maintenance needs.

Coordinates PC and furniture needs and moves.

Prepares and processes department’s personnel records.

Coordinate travel/hotel arrangements and expense reporting for the department, as needed.

Prepare quarterly Executive Expense Recap Report for One Up review.

Provide thought leadership to adapt the way we work in support of the overall goals of the department and encourage and proactively identify and execute efficiencies.

Assist the department in meeting its financial objectives, and monitoring and analyzing variances (where required).

Absence/Vacation tracking and reports on backups during times of high vacation activity.

Assist with general HR related tasks.

Onboarding and offboarding of department staff.

Provide support for the Teams related to floor office plans, locker assignments, etc.

Support the overall objectives of the department by providing administrative support in a timely manner.

Understands and accepts change as it relates to the role and commitment to client fulfillment.

Assist with special projects as needed.

All other duties, as assigned.

What do you need to succeed?

Must-have

Strong written and oral communication skills

High level of attention to detail

Highly proficient in Microsoft Office including Word, PowerPoint, Excel, Outlook

Demonstrated organizational skills, with the ability to complete projects on time, with accuracy, and make the most effective use of available resources.

Demonstrated ability to work effectively under pressure and meet prescribed deadlines.

Self-starter, must work independently with minimal supervision.

Nice-to-have

3-5 years of administrative experience

Bachelor’s degree preferred, but not required.
