Executive AssistantFonemed is looking for a eager and enthusiastic Executive Assistant to join our team! This position will work in office at our St. John’s, NL head office. We are looking for a motivated and organized go getter with experience working as an executive assistant or in the office management field to support our executive team. If you are looking for a rewarding career with a growing company, apply today!Position OverviewThe Executive Assistant will provide support, primarily for the CEO and executive team, along with administrative support to the St. John’s office. This role will be responsible for schedule/calendar management, coordination of logistics for travel and events, preparation of reports, documents, presentations, meetings minutes, and other correspondence and will provide office and administrative support for the organization.Responsibilities:
- Preparation of meeting minutes, reports, emails, memos, documents, and correspondence for Executives.
- Preparation of presentation and summary/briefing documents.
- Coordination of activities such as travel, accommodations, event planning and other logistics.
- Management of scheduling and calendars for the CEO.
- Expense tracking and reporting.
- Financial Reconciliation.
- Ordering required office supplies and equipment and managing inventory.
- General office and administrative support for the organization.
- Preparing boardroom in advance of meetings.
- Keeping the office and kitchen area tidy and stocked with supplies.
- Act as a point of contact among executives, employees, clients, and other external partners.
- Screen and direct phone calls, emails, and mail to appropriate parties.
- Organize and maintain office filing system.
- Other relevant duties as required.
Skills and Requirements
- Diploma in office administration or comparable education would be considered an asset.
- Experience working as an Executive Assistant, Office Manager, or in a similar administrative role.
- Experience coordinating travel, logistics and managing a schedule for an executive position or team.
- Experience preparing correspondence, documents, reports, and minutes for Executives.
- Experience providing general office and administrative support to an organization.
- Experience with Microsoft Office Suite programs, specifically Outlook, Word, PowerPoint, and Excel.
- Strong time management and organizational skills.
- Strong verbal and written communication skills.
- Understanding of confidentiality and discretion in an office environment is extremely important in this highly confidential position.
