The First Nations National Guardians Network (NGN) is a nonprofit fostering stewardship and nationhood through First Nations Guardians initiatives. NGN is the first-ever Indigenous-led national stewardship network in the world. Committed to empowering Guardians with consistent funding, training, and networking, NGN is grounded in Indigenous knowledge and values. Guardians engage in vital land and water stewardship, e.g. managing wildfires, monitoring climate impacts, restoring ecosystems, and strengthening cultural and language revitalization. NGN supports this crucial work by offering streamlined access to funds and investments, shaping applications based on Guardians’ lived experiences and ensuring thriving programs for First Nations.

SUMMARY

An exciting opportunity awaits an Executive Assistant to join our growing team, directly supporting our Executive Director at NGN! Be a key player in our mission to empower First Nations Guardians nationwide. Your role involves enhancing operational efficiency, aiding in diverse projects, and facilitating collaborator engagement. We need your proactive approach, top-notch organization, and dedication to driving NGN’s growth and mission through strategic coordination and administrative excellence.

KEY RESPONSIBILITIES AND REQUIREMENTS

Responsibilities:

  • Executive Support: Provide high-level administrative assistance to the Executive Director, managing calendars, scheduling meetings, taking meeting minutes and coordinating travel arrangements.
  • Communication Management: Act as a liaison, managing emails, calls, and correspondence on behalf of the Executive Director, ensuring timely and professional responses.
  • Documentation and Reporting: Prepare and edit documents, reports, and presentations, maintaining accuracy and confidentiality in all materials.
  • Project Coordination: Assist in organizing and coordinating various projects, ensuring deadlines and objectives are met efficiently.
  • Remote Office Management: Maintain digital filing systems, organize virtual meetings, and manage remote office logistics to ensure smooth operations.
  • Outreach and Engagement: Facilitate communication and engagement with internal and external collaborators, maintaining positive relationships and effective communication channels.
  • Ad Hoc Support: Provide additional support as needed, handling ad hoc tasks and special projects to support organizational goals.
  • Travel: Willingness to travel at least 8 times a year for work-related events, meetings, or conferences

Requirements:

  • Proven experience as an Executive Assistant or similar role, supporting C-suite executives or senior leadership in a remote work environment.
  • Proficiency in remote communication tools (e.g., Zoom, Monday.com, Microsoft Teams) and office software (Microsoft Office, Adobe Acrobat Pro).
  • Exceptional organizational and time-management skills, with the ability to multitask and prioritize tasks effectively.
  • Strong verbal and written communication skills, maintaining professionalism and discretion in handling sensitive information.
  • Resourcefulness, proactive problem-solving abilities, and a keen attention to detail.
  • Ability to work independently, demonstrating self-motivation and adaptability in a remote work setting.
  • Ability to use tact and good judgment in dealing with sensitive and complex issues while always maintaining confidentiality.
  • Ability to drive and provide a licensed vehicle for work purposes.
  • Successful criminal records check.
  • Bilingual in French/English is considered a valuable asset
