Workplace Type: HybridJob Purpose:The Executive Assistant to the Vice President, Product works to providing strategic administrative support to the VP-Product. The role includes managing incoming and outgoing mail and calendaring for the VP-Product, providing support for meetings of the VP-Product, business administration support, budget management and other tasks as needed. The EA will assist with research and presentations, travel arrangements for the VP-Product, and support for events.The EA represents the VP-Product with diplomacy, discretion, integrity and wisdom, acts with professionalism, accuracy, speed, flexibility, and confidentiality, and is able to juggle multiple priorities. The individual demonstrates World Vision Canada’s Christian ethos through personal and professional attitudes and practices. The role works in partnership with key stakeholders within WVC and in the WV global partnership.Duties and responsibilities
- Develop an understanding of the VP-Product short- and long-term strategic priorities
- Process the VP-Product email as needed; organize, sort and track follow-up items. Draft routine correspondence, while expediting urgent, confidential, and important correspondence to appropriate staff as needed. Draft announcements and reports, prepare documents and agendas.
- Provide logistical support for meetings for VP-Product, including preparing materials, sourcing meeting locations, coordinating food needs, as required.
- Manage the VP-Product calendars and prepare daily folder, as needed, with supporting documents for upcoming meetings.
- Book meetings and webex calls; and make reservations.
- Provide administrative support on special projects such as Peer Reviews, standards guidelines, and in providing organizational and logistical support for hosting international delegations from other World Vision office
- Provide budget and finance support: this includes support to VP-Product as they prepare budgets. Monitor expenses and status reports according to budget approvals throughout the fiscal year.
- Support the VP-Product by reconciling their purchase cards, handling expense reports, handling honorariums, pre-approvals, settlement advices, purchase orders, and handling cash advances for VP-Product. Coordinate all travel arrangements for VP-Product, including flights, travel visas, advances, and expenses.
- Support in the preparation of presentations, as needed.
- Provide support for town halls or chapels for VP-Product. This may include research, creating power points, logistical support, sourcing materials.
- Order supplies, books, subscriptions for VP-Product.
Qualifications:
- University degree or College diploma with an administrative focus
- 5+ years of senior administrative experience with demonstrated organizational, project planning, interpersonal, financial and communication skills
- Ability to manage multiple projects simultaneously, to solve complex problems, to adapt to changing priorities and focus areas, and will be a collaborative team player.
- An understanding of the non-profit and NGO sector is an asset.
- Previous experience with a high degree of confidentiality, diplomacy, grace and judgment; strategic thinking, initiative and proactivity; independent thinking; accuracy; and strong communication skills, both written and verbal
