What the Key Tasks Look Like

As Executive Assistant to the COO, you will support the COO of DKV Belgium in a timely, efficient and professional manner in preparing and developing the strategic journey. You will also work closely with top-management of DKV Belgium and facilitate interactions with the ERGO Group on various strategic projects within the scope of the COO.

The COO domain currently includes Claims handling, Contract management (Retail), Customer Services (first line customer contact), Building & Facility management (incl. mailroom activities), Specialized Activities (for Claims & Contract), Medical department, Human Resources (both for DKV Belgium and ERGO Belgium), Transformation Office and Data & Digital Services.

  • Create effective executive memorandums and presentations for the Executive Committee, Board of Directors and other local events by conducting research and developing content;
  • Preparation and follow-up of COO meetings and other COO events, including documentation of the meetings (meetings minutes, action logs);
  • Support the development and implementation of ongoing and future strategic roadmaps, including both innovations and remediation actions within COO domain;
  • Support and facilitate strategic projects & initiatives under discretion of the COO by offering coordination and analysis;
  • Monitor actual budgets (personnel and non-personnel) within COO domain and asses future budgetary needs to be included in multi-year financial planning;
  • Monitor progress of programs and projects sponsored by COO, contributing to timely delivery and alignment with strategic goals;
  • Monitor operational performance metrics (KPIs, service levels), action plans and reports to governance bodies.

Required Skills and Competences

  • University degree or equivalent by experience;
  • Working language is English, good knowledge of French and/or Dutch is preferable;
  • Proficient in MS Office (Excel, Word, PowerPoint);
  • Excellent analytical and strategic skills;
  • Self-confident manner, strong communication skills (via phone, e-mail and in-person) and ability to build effective relationships quickly;
  • Cross-cultural affinity and proven ability to work and communicate successfully at different levels in a multi-national environment;
  • Flexibility, ability to work under pressure;
  • High level of independence, self-motivation and proactivity;
  • Experience exercising discretion and confidentiality with sensitive company information.
