Job Summary The Executive Assistant will play a critical role by providing direct support to the Vice President, Brand Marketing administrative and operational support to the Enterprise Brand’s Senior Management Team (SMT) and the broader Enterprise Brand Team.Job DescriptionWhat is the opportunity?The Executive Assistant will play a critical role by providing direct support to the Vice President, Brand Marketing administrative and operational support to the Enterprise Brand’s Senior Management Team (SMT) and the broader Enterprise Brand Team.What will you do?

  • Provide proactive daily support to the VPs, through actively managing calendars, scheduling meetings, collecting information and preparing materials in advance of meetings while maintaining a high degree of confidentiality and accuracy within a fast-paced, deadline driven environment.
  • Develop and manage agenda & content material for monthly SMT & Brand Team meetings. Co-Host monthly SMT & Brand Team meetings via WebEx on behalf of VP
  • Coordinate all aspects of internal event planning such as team building sessions, socials, and communication
  • Proactively manage travel arrangements/itinerary for VP and occasionally the senior leadership team, ensuring seamless travel and efficient use of budgeting and resources.
  • Provide operational support to the team which may include but is not limited to solving IT/equipment related issues, making necessary arrangements for on boarding/offboarding new team members, coordinating real estate needs for the team (building passes, meeting room/conference floor bookings, etc.), maintenance on team distribution lists and team organizational chart, upkeep on promotional merchandise storage areas, support initiatives around improving employee experiences, and raising issues to HR while ensuring adherence RBC policies.
  • Collaboration with key internal partners to ensure a smooth and seamless completion of tasks. Other administrative assistants, Corporate Real Estate, IT, HR, Procurement, Communication, Corporate Citizenship, etc.
  • Collaboration with key external partner contacts including: agency partners, vendors, sponsorship partnerships.
  • Secondary Curatorial Department Office Manager. Act as an escalation point for Art Curators. Manage boardroom booking & security card access when applicable.

What do you need to succeed?Must-have:

  • 5+ years of Executive or Administrative support experience supporting multiple senior leaders.
  • Superior organizational skills, specifically around calendar management, scheduling, ability to organize, plan, and schedule activities.
  • Strong interpersonal relationship skills in working effectively with various levels of staff and business partners, including senior management and executives; ability to work as a team member.
  • Sound judgement in decision making, strong problem-solving and analytical skills, resourceful in working with others and representing the Enterprise Brand Team.
  • Anticipate the needs of the VPs and flag questions or opportunities before issues arise.
  • Demonstrate initiative, a positive and helpful attitude when dealing with others in a professional manner.
  • High proficiency in MS Office (Word, PowerPoint, Excel, Outlook), navigational skills (intranet, internet), video conferencing and research skills.

  • Solid knowledge of relevant RBC policies and procedures (e.g. vacation and absence management; expense guidelines; travel policy)
  • Experience with My Marketplace / Access Manager
  • Experience with Concur
