What you will be doing:
As an Executive & Governance Assistant in Global Wealth Management (GWM), you will play a pivotal role in ensuring the seamless execution of our Business Initiatives and providing essential support to the Group Head, GWM and leadership team. You will be responsible for handling a wide range of administrative tasks, with a focus on efficiency, confidentiality, and professionalism. Is this role right for you? In this role you will:
- Executive Support: Provide high-level administrative support to executives, including the handling of sensitive information, managing their calendars, and coordinating meetings and appointments.
- GWM Business Initiatives: assist in the planning, material preparation and coordination of executive visits to countries, offsites serve as primary point of contact for client events, demonstrating professionalism and strong communication skills in person, via email, and over the phone.
- Travel Arrangements: Coordinate domestic and international travel for executives, including flights, accommodations, and itineraries.
- Document Management: Prepare and edit reports, presentations, and other documents, ensuring accuracy and adherence to company guidelines. Prepare, edit and distribute minutes of meetings for GWM Business Initiative meetings.
- Calendar Management: Proactively manage GWM Group Head and Leadership calendar(s), schedule meetings, and prioritize appointments to maximize productivity.
- Event Coordination: Assist in planning and organizing employee and client events, conferences, and seminars, handling logistics, and ensuring smooth execution.
- Expense Management: Process and track expense reports, ensuring timely reimbursement and compliance with company policies.
- Confidentiality: Maintain strict confidentiality of sensitive information, including client data and company records.
- Team Collaboration: Work closely with other members of the support team to ensure the overall efficiency of the office.
- Actively pursues effective and efficient operations of their respective areas in accordance with Scotiabank’s Values, its Code of Conduct and the Global Sales Principles, while ensuring the adequacy, adherence to and effectiveness of day-to-day business controls to meet obligations with respect to operational, compliance, AML/ATF/sanctions and conduct risk.

Do you have the skills to enable you to be successful in this role? We would love to work with you if you have:
- Bachelor’s degree or equivalent work experience.
- Previous experience in a similar role, preferably within the financial industry.
- Exceptional organizational and time management skills.
- Proficiency in Microsoft Office Suite, including Word, Excel, and PowerPoint.
- Excellent written and verbal communication skills.
- Strong attention to detail and ability to prioritize tasks effectively.
- A professional demeanor and the ability to represent the company to clients and partners.
- Discretion and the ability to handle sensitive information with integrity.
- Knowledge of financial terminology and concepts is a plus but not required.
