The team is also dedicated to fostering a diverse, inclusive, and equitable workplace where everyone feels a sense of belonging.POSITION SUMMARYThe Executive Office Associate will work in close collaboration with the President & CEO and the leadership team to manage processes and information flow, provide guidance, support the interaction of the President and CEO and the Board, carry out special assignments and strategic initiatives and assist in the smooth running of the organization, including the Board of Directors. This staff member will work closely with, Freedom House’s Executive Team. The Executive Office Associate will work in the office a minimum of two days per week, in coordination with the President and CEO as well as the executive team.PRINCIPAL DUTIES & RESPONSIBILITIESGeneral Operations

  • Coordinate amongst senior staff; setting meeting agendas and tracking action items;
  • Support communications and correspondence for the President & CEO including research, drafting, editing and securing input.
  • Help to ensure smooth running of the executive office including by establishing and strengthening executive office systems to effectuate a positive transition.
  • Coordinate the follow up and completion action items in relation to onboarding President & CEO including attending and debriefing internal and external meetings and tracking and attending to next steps.
  • Take on special projects and assignments as necessary to bridge organizational gaps and needs.

Office of the President

  • Maintain, build and nurture President & CEO’s network through consistent communications, helping to connect contacts to the work of Freedom House.
  • Act as eyes and ears to support incoming CEO helping to foster effective communication, relationship building and the establishment of productive leadership systems and approaches.
  • Provide confidential advice, guidance and support to the President & CEO;
  • Promote the effective flow of information among the President & CEO, executives and teams.
  • Draft both internal and external communications for the President & CEO, working in coordination with the Communications team.
  • Ensure smooth support systems with respect to administrative needs, scheduling and correspondence.
  • Prepare President & CEO is prepared for meetings and other engagements. Provide minutes and a record of action items. Ensure follow-up from meetings, including communicating outcomes to relevant parties, and follow-up with internal and external stakeholders.
  • Handle outreach and communications with donor prospects and connectors, setting the stage for the effective engagement of the Development team once a prospect has been qualified as interested in Freedom house.
  • Inform response to inquiries on behalf of the President, coordinating with relevant Freedom House staff.
  • Oversee special projects, assignments and initiatives at the President’s direction and in support of the Executive Team.

Board Management

  • Assist in oversight and coordination all matters related to the Executive Board and Board of Trustees as well as Committees.
  • Work with the President and the Executive Team to prepare for Board and Committee meetings, including agenda setting, convening and leading internal preparation meetings, and coordinating the substance and of Board materials in cooperation with the Special Assistant.
  • Coordinate Trustee engagement and stewardship opportunities, including
  • Ensuring that Trustees are notified about and included in appropriate Freedom House events
  • Keeping Trustees “top of mind” when thinking about events, articles/books, and ways that they can be helpful
  • Ensuring that the President and CEO has “touched” all Trustees regularly and provided adequate attention
  • Tracking communications between staff and Trustees to ensure appropriate coordination and follow-up
  • In partnership with the Special Assistant to maintain accurate minutes, follow-up communications, reminders and electronic Board meeting files and folders.

QUALIFICATIONS:Education:

  • Bachelor’s degree in Public or Business Administration, International Affairs, Public Policy or similar field.

Experience:

  • 3 years of proven experience working closely and using expert judgment with executives and boards in a business or executive support role.
  • Proven experience supporting coordination and collaboration across multiple teams and departments, with the ability to build trusted relationships at all staff levels.
  • Experience working on democracy and human rights issues desired.
  • Proven success in project management responsibilities.

Technical Skills and Abilities:

  • Excellent written and oral communication skills.
  • Extremely versatile; able to prioritize and perform multiple tasks with excellent attention to detail and the ability to set and meet deadlines and drive projects to conclusion.
  • Nimble business mind with a focus on developing creative solutions.
  • Proficient in Microsoft Office Suite (Outlook, Word, Excel and Power Point).
  • Ability to maintain the highest degree of confidentiality and exhibit unquestionable integrity, honesty, and forthrightness.
  • Strong interpersonal skills and the ability to respond promptly to inquiries courteously and professionally.
  • Ability to successfully work collaboratively with all levels of employees, management, external partners, and funders.

COMPENSATION & REWARDS:

  • Salaries are commensurate with experience and based on pay grades that prioritize equity across the organization. Salary range for this role is $70,000 to $80,000 annualized, dependent upon experience.
