Can you see yourself providing executive-level reviewing, overseeing, and approving any major expenditures and maturity of all projects, commercial ventures, and major procurements to proceed to the next stage in the Gating and Sanctioning process? Does the idea of working with multiple internal stakeholders such as the Office of the VP of Business Management, Chief of Staff, Central PMO, Mission Program Offices, etc., to ensure that ERT meetings are planned and conducted successfully as planned, the plans are up-to-date, documented, and communicated in a timely manner, etc., sound good to you? What will you be doing!
- Working closely with ERT stakeholders and input providers (Office of the VP of Business Management, Office of the Chief of Staff, Central PMO, Mission Program Offices, etc.) to ensure that ERT meetings are being planned and scheduled in line with the Gate Progression Plan (GPP) as well as other emergent information regarding Contract Awards, PBCPs, Project Updates, etc.
- Proactively coordinating with the Central PMO and MPOs for timely preparing and submitting ERT Packages.
- Performing due diligence and Quality Assurance on ERT submissions to ensure completeness and readiness of projects to meet the objectives of the ERT reviews.
- Ensuring that the planning and scheduling of ERT meetings aligns with the dynamic nature of project teams putting forward ERT requirements with Board and AECL approval timelines.
- Pre-job briefing with ERT Chair: Ensuring that an adequate amount of preparations and pre-job briefs are being planned and held before each ERT meeting, tailored to the needs and complexity of the individual ERT items.
- Ensuring that the right participants are present in the PJBs and are able to come prepared to meet the objectives of the PJB.
- Ensuring that the ERT Agenda is being prepared and communicated in a timely manner.
- Ensuring that Briefing Notes and Executive Summaries are being aligned with each other and are underpinned by all the required supporting documentation (in accordance with the applicable procedures). Additionally, for Gate Progressions, ensuring that the PMO
- Assurance Package that accompanies the above is complete and submitted on time.
- Ensuring that all the ERT material is being uploaded to the ERT SharePoint in a timely manner, providing the ERT members adequate time to review the material ahead of the meeting.
- Ensuring that actions identified during the ERT meetings are accurately captured (3-way communication) in Meeting Minutes as well as in a separate Actions Register.
- Ensuring that the Action Register clearly indicates (for each action) action details, action owner, timeline, etc., and is placed in a designated location for stakeholders to access it.
- Facilitating Monthly Reviews of the Action Register to ensure visibility and oversight on actions.
- Communicating ERT meeting outcomes to all internal stakeholders as necessary along with the Actions Register.
- Ensuring that the Gate Progression Plan (GPP) is always being kept current and is available in the designated SharePoint location at all times.
- Working proactively with Central PMO, Mission Program Offices, and other internal stakeholders to ensure that the GPP is accurate, and ERT milestones are aligned with upcoming Board Meeting Dates.
- Ensuring that the Board Gantt (indicating Board Milestones for project items that have cleared ERT) is being kept current, is aligned with the Board Meeting Schedule, and is available at the designated SharePoint location at all times.
- Ensuring proactive and clear communication on each of the above functions with all stakeholders. Where necessary, planning additional meetings to clarify expectations and ensure the success of ERT meetings.
What we are looking for:
- Completed post-secondary education in a related field, commerce, finance, economics, accounting, business administration.
- 2-3 years’ experience in Project Management Office, Finance Operations or Decision Support
- Practicable day to day working knowledge of CNL Systems and Governance and ERT and Board preparation. Must have practical hands-on experience of stage gate preparation and attending stage gates.
- Appreciation and understanding of Governance Processes and Procedures.
- Minimum of five years comprehensive work experience in a business environment.
- Good practical understanding of Estimating, Scheduling, Risk and Scope interaction.
- Have excellent verbal and written communication skills.
- Strong analytical and critical thinking skills to analyze processes and impacts, provide recommendations and develop solutions.
- Demonstrates a strong strategic viewpoint, with an outside the box mentality that provides alternative viewpoints and solutions to existing practices in a respectful and constructive manner.
- Demonstrated interpersonal, communication, negotiation and presentation skills – must possess a professional attitude and be able to behave in a professional manner gauged to the situation.
- Demonstrated strong work ethic, sound judgment, tact and diplomacy.
- Excellent interpersonal skills to work effectively in a multidisciplinary environment and with staff at various levels of the organization.
- Experience in reviewing strategic issues/topics and developing and writing business plans, reports, presentation packages, briefing notes and annotated agendas.
- Understanding of CNL’s various projects and priorities and how this relates to CNL’s/AECL’s overarching objectives.
- Gating and Sanctioning framework that CNL projects operate under.
- CNL and CNEA Board structure.
- CNL’s overall Management System framework.
- Has a sound understanding of the interaction of operations, projects and supporting groups to fulfil site missions.
Security clearance eligibility required: Reliability Status with Site Access Security Clearance (SASC), which has a minimum requirement of 3 years of verifiable history in Canada, Australia, New Zealand, United States and/or the United Kingdom
