Brief Position Overview Great position offering high-level administrative, management and financial support to the Montana 4-H Foundation! This position oversees the day-to-day operations of the Montana 4-H Foundation. Key duties include preparing and presenting reports, follow-up on information requests, utilizing a deep understanding of endowments and managed agency accounts, providing support to a diverse group of internal and external stakeholders, and making complex decisions and recommendations. Must be able to work seamlessly in both independent and team settings.

Position Details

General Statement The goal of the Montana 4-H Foundation is to raise and manage funds for statewide 4-H programming, manage financial resources and partner with Montana State University Extension to fund educational opportunities for Montana 4-H youth, volunteers, leaders, and staff.
Duties and Responsibilities
  • Manage financial transactions and record keeping for the Montana 4-H Foundation.
  • Manage all aspects of the daily office operations, working closely with the Executive Director, 4-H Center Director, and Board of Directors to facilitate overall operations.
  • Research and prepare data on budgetary items, manage databases, provide regular financial reports, and process distribution of funds, prepare and manage budgets, and maintain current and accurate financial records for the 4-H Foundation. Coordinate with a contract bookkeeping firm who does a portion of relevant financial management. Coordinate with Board of Directors on financial matters.
  • Arrange and manage the budgets for all events and conferences including securing facilities, preparing schedules, agendas, food and lodging when appropriate.
  • Support the Executive Director in all donor cultivation activities, maintain donor and other mailing lists, organize logistics of appeals, and prepare reports requested by the Executive Director.
  • Actively engage with the Board of Directors.
  • Coordinate annual scholarship and internal grant programs.
  • Assist with public relations and social media communications.
  • Provide exemplary customer service to county and state stakeholders, donors, staff, students, and directors who call or visit the office.
  • Use independent judgement to facilitate program improvements, such as incorporating students for services and special projects.
  • Oversee and manage merchandise sales.
  • Supervise student workers, liaise with State 4-H Center program delivery specialists.
Required Qualifications – Experience, Education, Knowledge & Skills
  • Experience with high-level and complex bookkeeping.
  • Demonstrated competency with QuickBooks and Microsoft Office software (or similar), especially Excel and Word, video conferencing platforms, and ability to learn new software programs.
  • Responsible administrative, business office management and operations experience requiring attention to detail and the ability to self-correct.
  • Demonstrated experience organizing and managing events, prioritizing multiple work assignments, meeting deadlines, and exercising adaptability to changing priorities while maintaining a positive, effective, and professional attitude.
  • Preferred Qualifications – Experience, Education, Knowledge & Skills
  • Demonstrated experience managing high-level financial tasks.
  • Experience with 4-H programs and activities.
  • Demonstrated ability to learn software quickly.
  • Writing skills for public relations.
  • The Successful Candidate Will
    • Establish and maintain cooperative working relationships with various constituencies including Extension staff, vendors, 4-H members, 4-H Center staff, donors, Board of directors, and other key stakeholders.
    • Possess excellent communication and interpersonal skills.
    • Knowledge of best practices for bookkeeping practices.
    • Knowledge of database systems.
    • Ability to accurately process financial information and to communicate orally or in writing with faculty, staff, and administrators.
    • Ability to assimilate knowledge and organize quickly to respond to questions and requests.
    • Ability to organize and prioritize multiple tasks with an attention to detail and the ability to self-correct.
    • Possess sound judgement and self-motivation.
    • Ability to grow in the position and enhance operational procedures.
    • Represent the Montana 4-H Foundation and MSU to others professionally and courteously.
    • Experience providing positive customer service.
