Facilities Assistant

Based: Flexibility in office location. Ideally Meadow Farm, Nr Bicester, or Woolley Firs, Nr Maidenhead, however other BBOWT sites will be considered.

Job Purpose

Provide flexible administrative, Facilities and IT support to the Operations team.

Reporting Line

The post holder reports to the Head of Commercial Estate.

Line Management

This post has no line reports.

Key Tasks

· Managing meter readings across the organisation

· Analysis and submission of purchase orders for regular facilities bills and other facilities purchases e.g. IT, utilities, cleaning, photocopiers, fuel, phone, internet

· Managing the facilities inbox

· Assisting with the review & updating of Health & Safety documents including Codes of Practice and Risk Assessments

· Maintaining email groups

· Providing Facilities support across the Trust

· Assisting with basic IT support across the organisation

· Any other duties as delegated by the Head of Commercial Estate

Person Specification

· Proven administrative skills

· Good research and interpretation of guidance skills

· Problem solving skills

· Ability to coach others in the use of computers and IT systems

· Proficient using Microsoft Office functions such as Word, Outlook and advanced Excel

· Ability and willingness to demonstrate the BBOWT behaviours and values

· Current UK car driving licence

Measurements of Success

· Timely and accurate completion of all tasks

· Minimum supervision needed to complete tasks

· Build and maintain excellent working relationships with colleagues across the organisation

Expected salary

£25706 per year
