We are committed to excellence in property management and are seeking a dedicated Facilities Management Finance Administrator to join our team.As a Facilities Management Finance Administrator, you will play a crucial role in providing comprehensive financial administrative support within our Facilities Management team. Your responsibilities will include processing utility and service partner invoices, maintaining accurate financial records, and contributing to the overall financial health of our property management operations.Key Responsibilities:

  • Collaborate with the Assistant Finance Manager to manage utility invoice processing, including liaising with FM and PM teams, reviewing, and processing invoices for payment.
  • Manage service partner invoicing by reconciling monthly statements and providing feedback.
  • Engage with service partners to ensure correct purchase orders are utilized and invoices are submitted in a timely manner.
  • Conduct monthly meetings with service partners to address aged debt and resolve purchase order queries.
  • Work with the FM team to ensure prompt raising and distribution of purchase orders to keep invoicing up to date.
  • Raise purchase orders for capital expenditure, internal fees, contract costs, and utilities in The Crown Estate’s payment platform.
  • Ensure effective communication between JLL and service partners to meet finance KPIs.
  • Manage the new supplier setup workflow function.
  • Provide exceptional customer service to internal and external stakeholders.

Personal Requirements:

  • Experience in facilities management and/or finance and accounting is desired.
  • Strong problem-solving skills with excellent attention to detail.
  • A team player with outstanding verbal and written communication skills.
  • Proficient in Microsoft Outlook, Word, and Excel.
  • Education: A good level of education to GCSE standard.

Capabilities:

  • Ability to manage utility invoice processing in conjunction with the Assistant Finance Manager.
  • Proficient in liaising with FM and PM teams for invoice processing.
  • Skilled in managing service partner invoicing and reconciling statements.
  • Competent in engaging with service partners to ensure timely invoice submission.
  • Adept at managing monthly meetings to resolve financial queries.
  • Experienced in raising purchase orders for various expenditures.
