Greening strategy:
ACTED’s greening strategy aims to tackle environmental degradation and climate change while meeting the needs of the most vulnerable who are often those most affected by the deepening environmental crisis. Each Acted employee will adhere to these principles through key green programming responsibilities:
- Contribute towards the adherence and development of the greening strategy plan.
- Explore innovative green programming opportunities and/or solutions within your realm of responsibilities and roles
- Encouraging and promoting environmental safeguarding processes and environmental programming standards in accordance with SOPs and technical guideline notes
Acted PSEAH Policy:
The Cashier has the responsibility to adhere to the PSEAH Policy (Protection against Sexual Exploitation, Abuse and Harassment). The cashier has the obligation to complete all mandatory training related to the Code of Conduct and the PSEA policy and report any safeguarding concern such as breaches of organisational policies or codes of conduct according to Acted’s procedures. Cashier carries out work duties in a way that does not harm children, vulnerable adults or other staff or volunteers.
Job Purpose
The Intern is a key member of the finance team at Erbil.
S/he is responsible of managing payment cycles for program activities, support operational payments, and expat staff allowances in the Capital, ensure all stakeholder receive their grant and in good quality and support the Finance officer on any adhoc request for the team.
Objectives:
- Ensure that payments are made efficiently and promptly as per ACTED internal rules and processes.
- Support Coordination between the agent MTA and ACTED program in the field.
- Support to make sure that the documents (Payment sheet, Payment list, Payment vouchers) are correct before any payments are made.
- Ensure that all relations with the stakeholders we work are conducted in a respectful and consultative manner.
Ensure the confidentiality of data and documents and inform the department head of any violations or complaints from stakeholders.
Duties and Responsibilities:
- Support to Liaise and proceed with suppliers/services and HR payments and Logistic payments when approved by the authorized ACTED staff and as per ACTED regional rules and processes;
- Support to prepare payment vouchers as per ACTED internal manual.
- Make sure all payment vouchers and related documentation are scanned and archived as per ACTED internal standards;
- Preparing cash counts and bank reconciliations and archiving them.
Key Performance Indicators:
- Support to Liaise and proceed with suppliers/services and HR payments and Logistic payments when approved by the authorized ACTED staff and as per ACTED regional rules and processes;
- Support of scanned documentation archived and sent on time (monthly paid)
- Support of payment done within the timing of the signed contract
- Support of salary payment made before the 30th of each month.
Qualifications & Preferred Skills
- Educational level (minimum institute) in relevant (business management, accounting, administration, economics, mathematics, Finance.
- Resident of Erbil City
- Fresh graduate
- Min 6 Months Experience in Finance with NGOs
- Good written and oral English
- Good working knowledge in Microsoft Office especially Excel, word.
- Educational level (Bachelor’s degree) in relevant (business management, accounting, administration, economics, mathematics, Finance.
- Rigorous and detail oriented
- High commitment to cultural sensitivity, honesty, integrity, Trust-worthiness and accountability.
