JOB OVERVIEW:

This Brussels-based role is central to keeping our financial records accurate, supporting budget follow-up, and coordinating smoothly with colleagues and external partners. You will also support the financial management of KOMIS’s international cooperation projects for a wide range of clients, working closely with project teams and gaining exposure to international assignments and reporting requirements.

The role is hands-on and operational, with increased activity during month-end and reporting periods. The Assistant will report directly to the Finance Manager and work closely with project teams.

This is a great opportunity to build hands-on experience in project finance within an international development context.

KEY RESPONSIBILITIES:

Financial Administration

  • Process supplier invoices, expense claims, and timesheets in line with internal procedures;
  • Support preparation of payments and maintain accurate financial records;
  • Assist in monthly closing preparation and coordination with external accountants;
  • Ensure proper archiving of financial documents, for audit purposes.

Project Financial Support

  • Provide administrative support to the Finance Manager and Project Managers in tracking project budgets and expenditures;
  • Assist in the collection and organisation of documents for financial reporting;
  • Provide logistical support;
  • Support the verification of expense eligibility in line with client and internal rules.

Office and Administrative Support

  • Monitor office supplies and coordinate with service providers (IT, maintenance, cleaning);
  • Support procurement follow-up and contract filing;
  • Assist with logistical arrangements for meetings and small office events;
  • Maintain organised digital and physical filing systems.

QUALIFICATIONS AND SKILLS:

  • Bachelor’s degree in accounting, finance, administration, or related field;
  • 1-3 years of experience in finance or administrative support preferred;
  • Good knowledge of MS Office, particularly Excel;
  • Strong organisational skills and attention to detail;
  • Ability to manage multiple tasks and respect deadlines;
  • Professional working proficiency in English and French;
  • Knowledge of Spanish is a strong asset;
  • Familiarity with accounting software is an asset;
  • Valid working permit for Belgium.
