Our collegial atmosphere encourages innovation and rigour in teaching and research.Your opportunity:Reporting to the Department Manager, the Financial Administration Assistant is responsible for supporting financial and accounting tasks such as preparation of expense reimbursements, debit memos, purchase requisitions/orders, payment of invoices, bank deposits, reconciling accounts and monthly statements and ensuring compliance with the University’s Guide to Financial Management. The position provides front line support to inquires and administrative support including preparing draft administrative staff employment letters and processing payroll.Your responsibilities will include:

  • Recording detailed transactions for many accounts
  • Coding financial information for processing in FIS
  • Checking that proper approvals are obtained prior to processing transactions
  • Collecting supporting documentation required for payroll and/or HRIS processing
  • Applying the University Guide to Financial Management and other applicable policies, agency and regulatory requirements
  • Verifying the accuracy and completeness of information
  • Responding to enquiries within the defined scope of the role and redirecting as appropriate
  • Identifying and resolving individual financial discrepancies

Essential Qualifications:

  • Advanced College Diploma (3 years) or acceptable combination of equivalent experience.
  • Two (2) years’ relevant administrative and financial experience
  • Experience maintaining financial and personnel records.
  • Experience processing payroll for a variety of employee groups including CUPE and USW groups
  • Experience processing invoices and expense reimbursements
  • Demonstrated understanding of financial administrative procedures and ability to apply guidelines and procedures to a variety of tasks
  • Demonstrated skills in processing, monitoring, reconciling and reviewing financial transactions and payroll processing for a variety of groups
  • Excellent written and verbal communication skills, demonstrated strong customer service skills, interpersonal and team collaboration skills
  • Intermediate proficiency with Microsoft Office including Word, Excel, PowerPoint, Outlook
  • Demonstrated skills and experience with Administrative Management Systems (AMS), including Financial Information System (FIS), and Human Resources Information System (HRIS), or equivalent systems
  • Demonstrated ability to prioritize deadlines and to maintain a high level of accuracy and attention to detail, filing and record keeping skills
  • Excellent time management and organizational skills and ability to anticipate operational needs and to adapt to changing deadlines

Assets (Nonessential):

  • Knowledge of the University Guide to Financial Management and other applicable policies, agency and regulatory requirements are an asset.
  • Experience working in an academic unit or in program administration
