Reporting to the Global Operations Manager, the Global Operations Officer provides operational, coordinating, and administrative support to Headquarters and Country Offices. The Global Operations Officer will work closely with Global Finance, IT, and HR Regional staff to ensure the coordination of meetings and overlapping tasks; support the Global Operations Manager with new Country Office start-ups and openings; prepare documentation for Country Office registration; facilitate meetings for country Office close-out processes; and assist with IREX worldwide operations and office compliance as assigned in their country portfolio. Support the Global Operations Manager in ensuring that country Office staff are trained and educated on IREX’s policies.

The Global Operations Officer role can be performed from any location where IREX has an office.

Your Background & Skills

  • Bachelor’s Degree
  • 3+ years of experience
  • Experience in international affairs, NGO, or international organizations
  • International Development knowledge and experience with USAID relevant work experience preferred
  • Regional experience in Central, Latin America and the Caribbean preferred
  • Demonstrated understanding of United States Government (USG) regulations and compliance issues
  • Ability to work with and communicate effectively with colleagues at all levels of the organization
  • Detail-oriented and highly organized, with the ability to multi-task and work independently
  • Strong computer skills, especially Microsoft Office: Outlook, Word, PowerPoint, and Excel
  • Ability to effectively provide support and solutions across borders and cultures
  • Ability and interest to work in a fast-paced, small office work environment
  • Spanish language skills preferred
  • You must have unrestricted authorization to work in the country where you reside.

Your Daily Tasks

  • Work on new country registration: selection of and close coordination with legal firms, including negotiating terms and scopes of work; submission of organizational documents, powers of attorney, and other forms of documentation as required per country/location
  • Process documents required for registrations; prepares procurement packages; reviews and clarifies required documents with local legal firms
  • Conduct regular reviews of policies and conducts regular audits on agreements, vendors, and legal documents
  • Manage and maintain the Global Operations SharePoint page and internal folders
  • Manage and maintain the Global Operations database including country profiles information
  • Monitor the close-out processes of IREX Global Offices
  • Update, manage, review Global Ops internal templates, manuals, and trackers
  • Identifies and documents best practices, lessons learned and performs root-cause analysis and other problem-solving activities to identify effective corrective actions and improvements to current Operations policies and procedures
  • Support Global Operations Manager in the maintenance of operating procedures to ensure that polices and procedures is up to date
  • In coordination with the Global Operations Manager, develop and utilize professional networks to inform decision making and benchmarking of best practices for international operations
  • Manage Global Operations’ inbox and Zendesk requests
  • Prepare, edit, and revise documents required for banking, Power of Attorney, and all other formal communications
  • Arrange and manage Global Operations’ meetings with other support units, e.g., NBDU, Global Finance, Regional HR, and IT
  • Serve as the primary contact for Global Operation’s vendors, e.g., services (notary and translation services)
  • Manage and provide day-to-day oversight of the IKnow Operations system (iKFO) for field-based personnel and operational data
  • Manage vendor contracts and agreements, process invoices, and procurement for vendors.
  • Monitor new business initiatives
  • Monitor the startup and close-out processes of IREX Country Offices
  • Track program awards and global activities
  • Process procurement requests and vendor setup for approval of the Global Operations Manager and Grants and Contracts
  • Process payments in AP for all Global Operations vendors
  • Work collaboratively with the Global Operations Team to ensure project deliverables are met
  • Other support duties as needed.
