Groups, Meetings and Events Sales CoordinatorAs a key member of the hotel sales team, your main focus will be on delivering a first class enquiry handling service to new, prospective and existing clients. You will be involved in driving and converting business across Meetings & Events, Local Corporate and Group Accommodation and seeing these through the full booking journey. You will focus on maximising revenue generation through proactive and reactive sales efforts; setting and conducting on site client appointments, co-ordinating enquiries through to conversion and contracting.You will have a particular focus on Group Accommodation, handling enquiries directly from the client and through third parties and will be the key point of contact from booking enquiry through the booking administration to check out.This is an office based role and you will be a confident “people” person, strong administrative skills with an eye for detail.Purpose of the Role and Key AccountabilitiesSales Office Administration and SystemsTo handle enquiries professionally through to conversion, supplying clients with accurate proposals and answering queries as required, by phone, in person or by emailYou will focus on group bookings, dealing with clients directly, professional conference/ events organisers (PCO) and at times, destination management companies and city event bureaus.You will be proactive with enquiries from the outset through chasing decisions and contract issue.Where required, you will become conversant with their online bookings management tools and complete details in a timely manner and with accuracyYou will deal with a wide range of clients and events from meeting planners, weddings, private events and corporate functions.You will handle many administrative tasks within the sales department and ensure these are dealt with accurately with great attention to detailEnsure all proposals and contracts are issued in a timely manner to support conversion of business and fall in line with the company standards and expectationsRecord information accurately and support data integrity as mandated into the bookings systemsCoordinate the details of events booked in the hotel, communicating with both the client and the operational team on requirements with a high degree of accuracyYou will work alongside the operations team to ensure the members experience is delivered to brand standards at all times. Outstanding customer services is expectedPost revenues and ensure all financial processes are followedBe accountable for the accuracy of data integrity and filing systems in order to comply with audit and internal KPIsEnsure the timely and appropriate management of all customer issues and/or complaints, escalating to the relevant personNew Business GenerationYou will conduct local research, identifying and follow up sources of leads for Meetings & Events, Local Corporates and Group AccommodationIn your role, you will generate new sales, with the passion and drive to sell, retain and achieve agreed targetsYou will be fully conversant with the Village products, understand the features of each and sell the benefits to prospects with the aim of converting to sales.You will follow the sales action plan to support new client sign ups and client retentionYou will work alongside other departments within Village, such as Health & Fitness to generate new businessYou will demonstrate passion for Village products and a natural ability to enthuse prospects.You will be target driven and strive to exceed your sales targetsEncourage meeting room bookings ensuring all revenue opportunities are maximised.Work with the DOS on clear objectives, targets and KPI’s ensuring progress against these on an on-going basisActively participate in Village brand sales initiativesTo be fully aware of competitors, their offering and how Village can gain the competitive edgeTo be a Groups, Meetings and Events Sales Coordinator you will need….To be a confident people person with strong client engagement skillsTenacious and drivenGreat attention to detail with strong administrative skillsPreferably experienced in a hotel or membership sales environment (not essential as training will be provided)The ability to build and maintain strong relationships with various stakeholdersTo be results driven and demonstrate clear actions to achieve goalsTo actively handle problems, propose effective solutions in line with the analysed informationTo work as part of the wider hotel teamTo demonstrate that you are standards orientated and can follow set guidelinesStrong communication skills, with good written and spoken EnglishA social, passionate personality with a hands-on mentality and a 100% ‘can-do’ attitudePlease note that whilst you will have a base hotel, you may also conduct work for other hotels within your region, supporting as requested.Work, Grow, Play!
