Title: HR Generalist

Location: Chicago, Illinois

Shift: Monday to Friday (8:30am – 5:00pm)

Summary: The HR Generalist provides direct support and service to employees and managers across Heartland Alliance (HA) and Heartland Alliance International (HAI). The HR Generalist is responsible for day-to-day management and administration of the human resources and organizational policies, procedures and programs. The HR Generalist carries out responsibilities in the following functional areas: departmental development, HRIS, employee and labor relations, training and development, recruitment, benefits, compensation, organizational development, and employee administration.

Essential Duties and Responsibilities:

  • Supports HR Business Partners for HA and HAI by providing human resources services, including employment administration, salary determination & compensation, some recruitment & sourcing, hiring and staffing, health and wellness benefits, training and development, record management, employee relations and retention, AA/EEO compliance, and labor relations; completing personnel transactions.
  • Completes special projects by clarifying project objective; setting timetables and schedules; conducting research; developing and organizing information; fulfilling transactions.
  • Protects organization’s value by keeping information confidential.
  • Complies with and informs on federal, state, and local legal requirements by studying existing and new legislation; anticipating legislation; enforcing adherence to requirements; advising management on needed actions.
  • In support of HAI, builds an awareness of country-specific labor laws.
  • Collaborates on improvement projects to improve overall quality, productivity and efficiency of HAI HR processes and services.
  • Updates job knowledge by participating in educational opportunities; reading professional publications; maintaining personal and professional networks; participating in professional organizations.
  • Manages client expectations by communicating project status and issues; resolving concerns; analyzing issues; preparing reports.
  • Achieves business objectives to solve business problems through broad and up-to-date knowledge of employment law, organizational behavior, change management, best practices, and organizational policy.
  • Performs other duties and special requests as assigned.

Employee Service, Administration & Projects

  • Resolves day-to-day employee questions and concerns across a spectrum of HR subject areas
  • Visits program sites, builds relationships with HA & HAI leaders and teams, and improves connections with employees.
  • Participates and leads Human Resources improvement projects
  • Solicits feedback and identifies improvement opportunities for Human Resources.
  • Prepares and distributes timely and appropriate communications.
  • Conducts exit interviews and assists with offboarding including out-processing employee administration/communication
  • Improves existing templates for employee letters, emails and Human Resources processing forms
  • Provides support and back-up as needed to HR Business Partners for HA and HAI
  • Performs employee file administration and maintenance, as needed.

Recruiting and Onboarding:

  • Recruits to fill priority open HAI domestic and HA positions- this includes job description finalization and administration within the recruiting platform, facilitating recruiting kick-off with hiring managers, proactive sourcing, screening, interviewing, and coordination of the offer process
  • Manages open jobs, maintains list of priority positions to fill, monitors hard to fill and critical open position activity
  • Works proactively to improve candidate sourcing via internet, professional associations, job fairs and events, and through direct recruitment of passive potential candidates
  • Coordinates external sourcing and posting sites; administrates purchasing of postings and best utilization of posting resources
  • Compiles and maintains recruitment administration tools and records as assigned.
  • Establishes and maintains strong relationships with hiring managers; establish and maintain strong working knowledge of programs and jobs
  • Coordinates pre-employment processes which may include testing, references, offer letters, background checks
  • Supports BU salary determination process as needed
  • Supports HR Business Partners for HA & HAI with salary determination processes for NBU hires; generates and maintains compensation reports and analysis
  • Coordinates offer approval process and offer letters and ongoing communication with hiring managers and candidates
  • Coordinates new hire process in collaboration with hiring managers and team members
  • Implements and maintains improved onboarding support processes to improve new hire retention, especially newly hired and promoted managers and other key positions
  • Provides and assists in developing employee/management training to improve onboarding, recruitment outcomes and manager capabilities
  • Other duties as assigned

  • Bachelor’s degree or equivalent combination of education and experience; 2-4 years of HR experience
  • General knowledge of employment laws and practices; international employment law experience desired
  • Experience working for an NGO or other non-profit or international experience desired
  • Bilingual experience (Spanish, Arabic and/or French) highly desired
  • Experience working with hiring managers and employees
  • Taleo, ADP and Bamboo experience preferred
  • Strong problem solving and analytical ability
  • Provide proactive, customer-service and continuous improvement mindset with dedication to deliver on commitments
  • Ability to handle confidential information
  • Excellent interpersonal, communications, and customer service skills
  • Excellent judgment and organizational skills
  • High energy and ability to handle high volume of administrative tasks
  • Ability to multi-task efficiently with a strong attention to detail
  • Must have thorough knowledge of MS Office
  • Ability to build relationships and work independently or as part of a team
  • Strong analytical and relationship building skills
  • Experienced in developing short-term and long-term goals
  • PHR Certified Preferred.
