The purpose of this role is to provide a Payroll and Comps & Benefits Specialist function within the HR Team. The C&B Specialist is committed to living the Organisations values and has a clear understanding of Focus Ireland’s mission and strategic vision.
What you will do:
- First point of contact for all HR Payroll and comps and benefits queries, providing advice and support to People Managers and employees on payroll and C&B queries.
- Work closely in partnership with Finance and People Managers to ensure all employee payroll information is accurately tracked, recorded and processed in the weekly and monthly payrolls within the agreed deadlines.
- Partner with the Finance Payroll Officer to ensure all employees are set up on our Time and Attendance system, Soft Works (or equivalent).
- Produce accurate and professional payroll and C&B reports as required, to include agreed input to the HR Board report and monthly C&B KRI’s, employee information reports from both Soft Works (or equivalent) and the HR information system as required, sick absence reporting to include any long-term sick calculations, and the set-up of Parental Leaves for employees.
- In partnership with Finance, prepare and run reports for Focus Ireland’s annual audit and conduct quarterly reviews in preparation for the annual audit.
- Maintain the dedicated payroll inbox and answer any People Manager and employee queries in a timely and efficient manner.
- Manage the pension administration for the organisation, tracking & enrolment of 6 month waiting period, setting up new pension joiners and liaising with finance and pension provider on pension contributions.
- Prepare and run Pension reports for Pension Renewal and Death in Service renewal and conduct quarterly audits in preparation for annual pension audit.
- Partner with Focus Ireland’s pension provider to arrange Pension Information Sessions twice a year and individual pension clinics as required.
- Track protective leaves for the organisation to include sick absence, all Family Leaves, Leave of Absences and complete all relevant forms pertaining to employees pay and benefits ensuring we are in line with our internal policies and legislation. Provide support and advice to all employees taking protective leave as required and advise and educate People Managers on Protective Leave policies and entitlements.
- Participate in the delivery of HR Workshops and Refresher Workshops on the internal Payroll process, comps and benefits, and protective leaves for new & existing People managers to enable them to become established in their role and manage their teams appropriately in line with organisational policy and processes.
- Manage the administration of the retirement process to include the tracking of employees who are reaching the organisational retirement age.
- HR Project Lead for organisational annual salary increments.
- Ensure Standard Operating Procedures for the HR Specialist role are kept updated reflecting any process changes or improvements.
- Stay updated on relevant legislation, regulations, and trends related to compensation and benefits, and ensure compliance with all legal requirements.
- Effectively manage, and positively influence critical and sensitive conversations with People Managers and employees relating to payroll and employee benefits.
- Participate in ad hoc and special projects, for example benchmarking, and continue to ensure comps and bens & payroll processes are up to date and relevant.
- Work within the framework of the overall objectives and values of Focus Ireland.
- Influence and drive continuous improvement through creating and developing good working relationships with Managers and employees across all levels.
- Influence and establish credibility, trust and rapport with internal and external stakeholders to facilitate the accomplishment of work goals, coupled with the ability to gain commitment from others.
- Participate in relevant learning and development programmes as agreed with the Senior HR Manager
- Participate on organisational working groups and forums, as required.
- Undertake such other duties as might be reasonably assigned from time to time in consultation with the Senior HR Manager or HR Director.
- Be vigilant to any Health, Safety and Welfare risks in the workplace and bring any concerns to the attention of your line manager or Health & Safety Representative.
- Be reasonably flexible in relation to the hours of work in order to meet the requirements of the role.
- Have a flexible approach to the work in response to organisational change, development and review of best practice.
What you need:
- Previous generalist experience in the HR field.
- Relevant third level qualification at degree level in HR with CIPD membership (desirable).
- Proven HR experience relating to C&B and payroll experience in a fast-paced environment across multiple regions or departments.
- Experience independently partnering with People Managers.
- Must have excellent organisational skills with strong focus on attention to detail, working to agreed deadlines and numeracy skills.
- Excellent interpersonal, communication skills and strong team player.
- Problem-solving mindset, shows ability to be flexible, respond positively to change and work effectively under pressure while dealing with conflicting priorities.
- Ability to write clear and accurate reports, analyse data and present in a confident manner.
- Proficiency in MS Word, Excel and VLook Up, PowerPoint and database systems
- Ability to deal with confidential information and work with integrity.
- Ability to effectively manage, and positively influence critical and sensitive conversations with People Managers and employees.
- A general knowledge or experience of working within an NGO or the homeless sector (desirable).
- IPASS qualification (desirable).
