THIS POSITION IS ONLY OPEN TO LOCAL CANDIDATES WHO ARE UNITED STATES OF AMERICA (USA) CITIZENS OR PERMANENT RESIDENTS IN THE USA.This a temporary position to cover a parental leave coverage for four months starting approx 15 September 2024 to 14 January 2025.New York Portfolios Office (NYPO) supports the United Nations Secretariat, as well as other New York-based United Nations organizations, bilateral and multilateral partners in the delivery of UNOPS mandate in project management, infrastructure management, and procurement management. NYSC includes the following business units:Peace and Security Cluster (PSC) is a principal service provider in the field of mine action with the United Nations Mine Action Service (UNMAS), Governments of mine-affected countries and other mine action partners. The Director is responsible to administer, provide support and oversight of the day-to-day management of the Project Field offices, both according to the client requirements and in line with UNOPS rules and regulations. It is headed by the Director who has the overall authority and accountability for the performance of the Peace and Security Cluster on behalf of its clients.Sustainable Development Cluster (SDC) supports diverse partners with their peacebuilding, humanitarian and development operations. It was formed by combining the following portfolios: Grants Management Services (GMS), UN Technology Support Services (UNTSS), Development and Special Initiatives Portfolio (DSIP) It provides Services to partners’ programmes that are designed, structured, and managed with a global perspective and primarily serving partners that are headquartered in New York. The SDC has a footprint of approximately 125 countries.The Senior Assistant (ICT and Facilities) works closely with the UNOPS NY Office…The Senior Assistant (ICT and Facilities) works closely with the UNOPS NY Office-based Clusters and Teams, as well as other UN agencies, to exchange information and ensure consistent service delivery.Under the supervision of the ICT Associate, the incumbent will carry out the following activities:ICT Support:
- Assist in ICT Helpdesk support services, both locally and remotely.
- Assist with inventory, distribution, maintenance, and repair of electronic devices for the office and related projects/personnel.
- Support end users with office applications (including but not limited to G-suite Microsoft,, etc.) archiving applications, backing up and restoring files, and virus detection, removal, and prevention.
- Respond to user needs and questions regarding ICT service.
- Coordinate with the team to provide user profile maintenance and security, including setting up user accounts, updating user access, password distribution, listservs, etc.
- Maintain inventory and stock of IT supplies / spare parts in accordance with Corporate policies.
- Provide input on performance-enhancing hardware/software which can assist office function/lead to greater performance efficiencies
- Monitor and maintain performance of specific technical functions, including overall hardware performance and support.
Administrative Support:
- Provide administrative support services, including billing, asset management, and support to corporate applications and requirements.
- Ensure timely processing of all ICT contracts, conditions, payments, licenses, renewal requirements, and deadlines.
- Provide input to administrative business processes, mapping, and implementation of the internal standard operating procedures followed in the NY Office.
- Maintain filing systems, ensuring the safekeeping of confidential materials.
- Extract data from various sources to prepare statistical information and reports as required.
- Support procurement of IT-related goods following UNOPS policies and procedures
Facilities Support:
- Provide ICT and Logistics support to key events
- Assist in the facility (set-up/maintenance) and ICT support (audio, video, data) required with internal personnel relocation, workstations and conference rooms, conferencing and meeting services, etc.
- Assist with multimedia functions, including projection equipment, cabling, television, etc.
- Liaise with Landlords and building Engineers on issues under their purview (HVAC, maintenance, functioning / non-functioning systems, etc.).
- Provide backup support to ICT/Facilities colleagues
- Sound contributions to knowledge networks and communities of practice.

- Secondary education/High school diploma is required.
- A university degree (Bachelor’s or Master’s) in an area related to the position will be considered an asset and may substitute for some of the required years of experience.
Required experience:
- Five (5) years of relevant working experience, including office administration, support and management of hardware and software platforms and/or telecommunications facilities.
- Knowledge of Windows based packages and applications is required.
- Basic hardware and software management and application knowledge is required.
Language:
- Fluency in English is required.
- Fluency in another UN official language is an asset.
