This is a special measure employment equity initiative and candidates from this group who wish to qualify for preferential consideration must self-identify.Job DescriptionThis role is critical to ensuring compliance in the application of the Access to Information (ATI) and Privacy legislation by providing expertise and by processing of routine requests for information pursuant to the ATI Act and Privacy Act.Job ResponsibilitiesBelow are the main job requirements and responsibilities for the Intake Officer, ATI and Privacy.

  • Acts as the point of contact for information on rights under the Access to Information Act and Privacy Act. Receives, assesses, answers and directs incoming correspondence/inquiries to appropriate functions as required to ensure timely response and effective coordination.
  • Supports the Manager of ATI and Privacy and the Director in meeting the plans and obligations of the ATI and Privacy team. Works with stakeholders, such as the Office of Primary Interest (OPI), Liaison officer and the subject matter expert (SME) to meet ATI and Privacy requirements and objectives.
  • Reviews all incoming ATI and Privacy requests with requesters, clarifying details, analyzing documents, interpreting and applying the provisions of the ATI Act and Privacy Act to ensure compliance. Registers all new ATI and Privacy requests, consultations and complaints into case management system, and provides administrative and support functions.
  • Processes routine requests for information filed under the ATI Act and Privacy Act and determines the statutory right of access to corporate and personal information under ATI and Privacy legislation. Adheres to processes and timelines, secures the privacy of requesters from disclosure to OPIs (Office of Primary Interest) and others to ensure compliance.
  • Advises on the application of the Acts and related regulations within the Corporation. Advises stakeholders, requesters, employees and customers on how to exercise their rights to access, obtain and/or correct their personal information. Provides advice and information on the scope and time limits of the request, costs and other potential avenues to obtain information.
  • Reviews the final release packages and ensures quality control prior to releasing the final disclosure packages in response to ATI and Privacy requests.

Job Responsibilities (continued)

  • Posts completed ATI requests on canadapost.ca website to support Treasury Board requirements and other communications as necessary.
  • Selects, validates and inputs information about ATI and Privacy requests into Access to information management system for use by the ATI and Privacy team. Maintains the database and generates weekly reports and statistics to support the reporting, trend analysis, monitoring and decision-making activities for the team, and ad hoc reports as needed.
  • Searches protected computerized databases and manual information sources to identify and locate records to be used by the officers for response to ATI requests. Sends task notices to appropriate officers and maintains a system to ensure all requests are actioned within the legislated timeframe.
  • Keeps up-to-date on changes in interpretation affecting Privacy and ATI application, policy and process at Canada Post to ensure that procedures for managing ATI and Privacy remain compliant, effective and efficient. Provides recommendations to manager for any changes, updates on policies and procedures processes.
  • Performs administrative duties for GM, Directors and ATIP Managers including travel and accommodation arrangements, requisitioning cheques, preparing travel claims, leave and expense claims, prepares budgets, includes monthly and year end variances analysis, LAVIS reports, requisitioning materials, supplies and equipment, requests repairs and services for office equipment.

QualificationsEducation

  • College diploma in a discipline relevant to this position or commensurate work experience in field of ATI & Privacy

Experience

  • Minimum two years’ experience in the last 5 years with the administration or processing of routine Access to Information or Privacy requests
  • Minimum two years’ experience with an Access to Information and Privacy Redaction software specifically in opening new ATIP requests, OIC complaints, consultations, entering data, updating file information, severing information and generating reports
  • Experience working independently and on teams to meet identified deadlines and manage multiple priorities

Other Candidate Requirements

  • Computer proficiency with knowledge of Windows, Outlook, Word, Excel
  • Demonstrated ability to communicate effectively with key stakeholders and customers
  • Proficiency in data manipulation, leveraging advanced Excel features and Power Bi to prepare metrics and charts for generating weekly reports and statistics. These reports support various needs including reporting, trend analysis, and decision-making processes.
