About the role

We are looking for an enthusiastic Personal Assistant to join our administrative support team here in London. This role is responsible for providing an exceptional level of support to three executives who sit in our EMEA and Global leadership teams. Each Executive is exceptionally busy, yet very down to earth and approachable, and will need someone who can adapt quickly to their very different working styles. You must have first-class organisational and prioritisation skills, a genuine can-do attitude, positive approach and a good-humoured outlook! Predicting movements and being ahead of the curve are imperative attributes in this role.

This role’s core responsibilities will include (but aren’t limited to):

● Proactive, intensive day to day diary management

● Co-ordinating complex travel arrangements via our travel tool

● Visa application, vaccination & testing execution and management where required

● Expense processing and management

● Meeting and conference call coordination across multiple time-zones, which will involve both internal and external stakeholder management

● Preparing and attending meetings; capturing, sharing and managing an accurate set of follow-up actions

● Creation and maintenance of presentations, reports and trackers etc.

● Adhoc support in business event and project management work

● Adhoc administrative tasks, including raising PO’s, meeting room booking, set-up & catering, taxi & courier bookings, restaurant and bar reservations, managing IT issues etc.

The successful candidate for this role will have:

The successful candidate will have a minimum of 3 years previous experience ideally within a similar role, in a fast-paced, ever-changing environment. A strong work ethic and proven ability to juggle priorities and spin plates are essential, as well as having:

● Strong computer skills, proficient in the use of Google Workspace and Microsoft Office

● An excellent eye for detail

● Core ethical standards including confidentiality, discretion and personal integrity

● Clear and confident written and verbal communication skills

● Ability to remain calm, and thrive under pressure

● Genuine interpersonal skills, with the ability to build and foster relationships quickly

● A driven, strategic mindset, with a team-player attitude
