Job Posting Title: Manager—-Hiring Department: Department of Chemistry—-Position Open To: All Applicants—-Weekly Scheduled Hours: 40—-FLSA Status: Exempt—-Earliest Start Date: Jan 21, 2025—-Position Duration: Expected to Continue—-Location: UT MAIN CAMPUS—-Job Details:PurposeProvide administrative support to the Department of Chemistry.ResponsibilitiesSupervise, mentor, and manage performance of purchasing and receiving staff and ensure proficiency with, and knowledge of University policy and procedure. Review internal processes and develop efficiencies. Act as backup for supervised staff during vacations and peak periods. Complete yearly performance evaluations.Provide post award grant management support to faculty in the Chemistry Department. Meet with faculty as needed to review accounts and provide guidance on fiscal expenditures and financial forecasting. Send monthly account updates. Process budget transfers for purchases, payments, and personnel appointments. Process costing allocations in workday. Assist faculty with budget management within financial terms & conditions and to ensure compliance with internal and external policies and procedures including Institutional, sponsor-specific and the Uniform Guidance.Liaise with all central offices (College of Natural Sciences, Office of Accounting, Office of Sponsored Projects, etc…). Assist faculty with Post-Award modifications, RPPR, LOA request, and no cost extension preparation and submission. Provide financial closeout for Post Award. Develop tools and resources to support award management.Review all sub award invoices for accuracy and compliance, and process for payment.Assist PI with salary compensation reports. Contact for questions related to effort certification. Manage cost share forms for the professors.Second department approvals for orders, payments, and travel documents. Cost Center manager. Electronic office delegate.Assist in the assignments of Teaching Assistants for the Chemistry DepartmentAssist department management with a variety of projects, using knowledge of University policy and procedure to suggest methods to improve efficiency and work on a variety of tasks and projects for the Chemistry department.Required QualificationsBachelor’s Degree and experience working in a large academic department. Proficiency using Microsoft Office Suite, particularly Excel. Excellent organizational and analytical skills with attention to detail, and ability to prioritize. Excellent oral and written communication skills. Demonstrated ability to maintain a positive and professional demeanor, even in stressful situations. Ability to interact and maintain productive working relationships with a diverse population of faculty, staff, and students. Relevant education and experience may be substituted as appropriate.Preferred QualificationsKnowledge of UT applications (i.e. Define, FRMS, RMS, Workday) in addition to electronic office architecture. Ability to anticipate potential challenges and proactively develop effective solutions.
