Program?Reporting to the Senior Manager, Records and Information Management, the Manager, Records and Information Management (12 Month Contract) supports the implementation and execution of the global Records & Information Management (RIM) Program in order to facilitate effective and efficient information management across Scotiabank in accordance with legal, regulatory and internal business requirements.AccountabilitiesSupport the Senior Manager and Director in progressing the design and implementation of an effective global enterprise-wide RIM ProgramAssist in facilitating RIM program maturity in relation to paper records and digitization in collaboration with Business Line/Corporate Functions, other stakeholders and external vendorsSupport implementation of Enterprise Retention Schedule across the Bank’s global footprint, and assist with oversight and facilitating ongoing updates to Schedule and supporting documentation to ensure alignment with business, regulatory and legal requirementsContribute to the development, maintenance and implementation of RIM related policies, procedures, processes and other supporting documentation to enable RIM Program complianceAssist with development and facilitation of plans and reporting on paper records management maturity and policies/procedures/processes, including KPIs/KRIs, key milestones and enable aligned project plan developmentSupport the Senior Manager in liaising with professional industry associations/networks including ARMA in order to assess and advise on industry best practices, engage in benchmarking and incorporate learnings into the RIM Program, particularly in relation to paper records management and digitizationDevelop and manage strong relationships with Business Lines and Corporate Functions in support of their efforts to adhere to RIM Program requirementsProvide advice to Business Lines and Corporate Functions on RIM Program requirements and support resolution of outstanding issues to facilitate their compliance with Program requirementsDevelop and deliver materials for reporting, training, communication and change management activities as required to support RIM program implementation and ongoing executionAssist with responses to testing, audit or regulatory inquiries or findings and support remediationSupport other RIM Program initiatives, including in relation to records inventories, reporting, risk assessment, training and program developmentAssist with other Enterprise Regulatory Programs responsibilities, as required, to fulfill the team’s mandate and comply with Regulatory Compliance ManagementCreate an environment in which the team pursues effective and efficient operations of their respective areas in accordance with Scotiabank’s Values, its Code of Conduct and the Global Sales Principles, while ensuring the adequacy, adherence to and effectiveness of day-to-day business controls to meet obligations with respect to operational, decisionsEducation/Experience2+ years of banking/financial services experience and/or relevant experience in Records and Information Management, Regulatory Compliance, Operations or process-oriented roles.University degree in Business or Records Management is desirableExperience with paper records management requirements and capabilities, including design/implementation and adoption of digitization strategy and supporting BAU processes for both paper records and digitization would be an assetKnowledge of records and information management industry standards, best practices, methodologies, and frameworks would be an assetExperience and knowledge of change management, communications and learning principles, methodologies, and tools is an assetSolid understanding of financial institutions is desirableExperience in supporting the implementation of enterprise records and information management solutions, particularly with respect to retention schedules, paper records and digitization related solutions and implementationHighly organized and capable of managing multiple priorities with competing timelinesStrong ability to prioritize, track and communicate progress on deliverables to stakeholders and management.Proficient in Microsoft Office suite of products, including but not limited to: Co-Pilot, PowerPoint, Word (including macros), Excel, VisioAbility to proactively take ownership and work independently within guidelines, policies, directives and established precedent.Strong analytical, organizational, and investigative skills, with exceptional attention to detail.Excellent teamwork, interpersonal and conflict resolution skills.Excellent written and verbal communications skills and with experience communicating effectively at the
