DEPARTMENT PURPOSE: The operations department offers safe and feminist operational services which enable the Confederation to have greater impact and support the delivery of OIS strategy. This to be achieved through the management and continual improvement of Oxfam International Secretariat’s key operational functions.

TEAM PURPOSE: The purpose of the Risk & Assurance team at Oxfam International is to ensure risk & assurance – in conjunction with governance – are managed, promoted and understood so that Oxfam is able to deliver more effectively its mission in the short and longer term and that it is accountable to all its stakeholders.

JOB PURPOSE:

This pivotal role involves producing comprehensive progress reports for both internal and external stakeholders, utilizing multiple data sources and systems. Additionally, you’ll play a key role in providing user support and training to new users of our global case management system. As the central figure in business management, you’ll drive continuous improvements in the implementation and functionality of our global case management system.

KEY RESPONSIBILITIES (Technical, Leadership, People and Resource management)

  • Produce high-level status and progress reports on misconduct, for internal and external stakeholders (for example Integrity report, OI Dashboard and risk reporting).
  • Analysis of trends in misconduct data in the confederation.
  • Support Affiliates in the use of Global Case Management System (GCM), in coordination with technical support provided by IT.
  • Maintain the GCM System documentation, the training materials for GCM System, and implement trainings for new users.
  • Manage change requests for GCM system in coordination with internal stakeholders and GCM service provider
  • Manage of users’ licenses in GCM system and user support groups / fora
  • Work in coordination with the Data protection specialists, to ensure the system provides enough confidentiality and fulfils the requirements of GDPR, follow up on open actions from the data impact privacy assessment of the system.
  • Manage the OIS speak up email address, triaging the concerns received via this channel.
  • Business management for the GCM system –in coordination with affiliates and the procurement team, manage the contract with the supplier, including, among others, the number of the licenses, the new features, the renewal of the contract and the changes in current agreements.
  • Follow up on actions to fix operations or systemic issues, resulting from investigations of misconduct cases or from internal audits in OIS.
  • Support team in updating intranet and other comms tools related to misconduct and the wider risk and assurance remit: anti-corruption, anti-terrorism financing, risk management, internal audits.

EXPERIENCE, KNOWLEDGE & COMPETENCIES

ESSENTIAL

  • At least 5-years-experience in managing projects of implementation of systems, policies, tools, procedures, etc.
  • Strong verbal and written communications skills, with ability to analyse large data and synthesize complex issues in English, and French and Spanish are a plus.
  • Experience of rolling out ways of working and tools across multiple layers of staff
  • Basic knowledge of management of safeguarding and anti-fraud cases
  • Ability to operate in a complex environment of change, comfortable with navigating overlapping roles and responsibilities and bringing stakeholders together, influencing across departments and functions.
  • Proactiveness and flexibility in switching styles to achieve job objectives.
  • Demonstrated ability, tact, confidentiality, and sensitivity in working across organizational boundaries, business units, and teams in an effective and productive way.

In addition:
