Requisition ID: 201615Join a purpose driven winning team, committed to results, in an inclusive and high-performing culture.PurposeThe Mortgage Accounting Clerk (MAC) is responsible for providing administrative support to Scotia Mortgage Authority (SMA), Home Financing Solutions (HFS), eHOME and Real Estate Secured Lending (RESL). The MAC role is to ensure a high level of service is provided to Mortgage Fulfilment Officers (MFOs), Underwriters, Solicitors and ultimately the end customer by processing entries in a timely and accurate manner. The incumbent will post, control, check, verify, investigate, and balance entries using Forms Free Teller (FFT), Wire Payments, Term Lending System (TLS) and ScotiaConnect in conformity to Bank regulations and procedures. The MAC will also prepare, verify and post Payout Statements as per Scotiabank policy. The incumbent will also be responsible for ensuring timely follow up and payout of Bridge Loans as well as ensuring discharge requests are sent to Retail Mortgage and Auto Lending Operations (RMALO) for Scotiabank secured debts.AccountabilitiesAssist in the administration of accounting responsibilities by:
- Acquiring and maintaining a good knowledge of all accounting functions and a thorough knowledge of the operation of systems for accounting functions including but not limited to; outgoing wire payments, posting TLS entries, posting GL entries, following up on bridge loan payouts and data integrity checks
- Acquiring and maintaining a thorough knowledge of SMART Funding, Term Lending System (TLS), MIMS, ScotiaConnect. the Mortgage Fulfilment System (MFS)
- Reconciling all entries as advised by Operations and Corporate Services (OCS), Mortgage Accounting Officers, MFOs, lawyers, branches and your Team Leader on a daily basis, and preparing corrections as required
- Maintain thorough knowledge of Scotiabank’s prepayment policies as well as staying up to date with current mortgage rates and associated processing fees in order to accurately prepare payout statements
- Accurately processing, posting and maintaining the daily transactions originated by Mortgage Fulfilment Officers and others; documenting errors as required
- Preparing and processing drafts for other financial institutions in order to process customer debt payout
- Prepare and issue all mortgage related statements to required parties
- Process all Customer Escalation entries as provided by the department
- Closure of accounts, as required
- Discharge security as required
- Prepayment charge logging for BNS Refinances to be used in calculating HFA and Broker compensation
- Prepare requests to redomicile revolving credit accounts to our transit for maintenance/account closure purposes
- Complete daily checklist to ensure volume is evenly distributed across the team
- Provide continuous feedback on processes and improvements that can be made to the accounting department
- Providing clarification, as needed, to the MFOs, OCS and RMALO to correct postings that have been submitted incorrectly
- Maintain general inboxes for Bridge Loans and Escalations on pre-defined schedule
- Ensuring assigned work is processed within defined SLA
Maintain strict adherence to security/privacy procedures and Guidelines by:
- Maintaining all negotiable items, stamps, keys and passwords consigned to custody in accordance with Banking regulations and within assigned limits;
- Adhering to established Bank regulations and procedures within assigned authorized limits and responsibility
- Reporting any unusual occurrences of fraudulent activity to your Team Leader;
- Ensuring that any exception items are escalated to your Team Leader
- Maintaining the confidentiality of customer information;
- Ensure Code of Conduct is adhered to
- Clean Desk Policy to be adhered to

- Key internal business partners include: Scotia Mortgage Authority, Home Financing Solutions, Real Estate Secured Lending, Retail Mortgage and Auto Lending Operations, Scotiabank Branch network, Client Solutions team
- Key external business partners include: Third party vendors (FNF and FCT), Mortgage Brokers, Other Financial Institutions, Solicitors and Notaries
- Multiple systems to be used in end-to-end processing of mortgage applications
Functional competencies:
- Thorough knowledge of the Bank’s Broker, Home Financing Advisor and eHOME Mortgage delivery strategy is an asset
- Thorough knowledge of Scotiabank’s mortgage products, policies and procedures is an asset
- Thorough knowledge of Scotiabank systems including Forms Free Teller, ScotiaConnect, SMART funding, Term Lending System, KS (VISA), MIMS, MFS, IRIS and CIS is an asset
- Working knowledge of the roles and responsibilities of other Bank service and support functions crossing all delivery channels is an asset
- Basic computer skills using common programs such as Microsoft Office and Adobe

Education/Experience/Other Information:
- Post-Secondary degree is an asset
- Minimum 1 year accounting experience is preferred
Working Conditions
- Work in a standard office-based environment.
- Work tends to be cyclical. The majority of deadlines and time constraints are predictable; however, disruptions or systems problems and volumes sometimes impact on the incumbent’s workflows. Pressure situations can arise from department processing volumes
