We currently have an opportunity for an Office Co-Ordinator to join our office-based team in Croydon.

The role is within our Civils Design team working on nationwide civil and structural projects.

Firstly, and importantly, you’ll be joining a welcoming and supportive team of experienced engineers who are passionate about supporting each other and our customers. The core business works on an exciting range of HV projects renewable energy ICP and EPC projects, transmission & distribution commissioning projects and large-scale railway electrification projects. We are rapidly expanding our team so it’s a great time to join the business.

The Office Co-Ordinator will be responsible for supporting the Engineering Design team by providing an efficient and effective general administrative and secretarial support service.

Duties and Responsibilities

  • Undertake Engineering Design general office administration duties including control of all mail, coordinating diaries, etc.
  • Draft reports and presentations in relation to design progress.
  • Organise meetings and the production, collation and dissemination of documentation for and resulting from them. Take minutes when required and follow up actions from the meeting.
  • Provide a consistent communications presence on behalf of the team delivering excellent customer service levels. Provide communications to the team, including sending messages as required.
  • Maintain an efficient filing system paying particular attention to records of meetings and authorisations.
  • Utilise financial and procurement systems (where directed) by ordering stationery and other office consumables as required.
  • Report team problems e.g. IT and office facilities and monitor response.
  • Undertake administrative tasks as directed including technical literature searches for the team.
  • Undertake the role in a way that is consistent with and reinforces the company values.
  • Collaborate with Design Team to support ongoing projects, identify and support opportunities for cost savings, efficiency and business improvement.
  • Support the preparation of project documentation, including drawings, technical specifications, and reports. Ensure that documentation meets the organisational and clients’ procedures, standards and requirements.
  • Support the Engineering Manager to update the project programmes and budgets trackers on a regular basis.
  • Ensure all work is delivered safely.
  • Support the assurance of all safety, quality, technical and commercial requirements are met.

Skills and Experience

  • Ability to multitask.
  • Experience in appropriate IT packages (MS Excel, MS Word, MS Visio, MS PowerPoint).
  • Good time management.
  • Strong organisation skills.
  • Good communication skills (verbal and written).
  • Experience of working with a team.
  • Outstanding self-reliance, resourcefulness and working on your own initiative with a flexible approach.
  • Eagerness to learn and adapt to new technologies and challenges.
  • Excellent analytical and problem-solving skills.
  • Recognised qualification in keyboard associated skills and office management techniques.
  • Knowledge and experience in Power Bi or similar systems
  • Knowledge and experience of records management.
