Job description
As the Office Manager for Rockfon, you will own the employee office workplace experience by providing support for all office-related needs from floor to ceiling; ensure daily office activities run smoothly. Be a liaison to the management team in activities and task they need completed. This is an in-office role located in Chicago.
KEY RESPONSIBILITIES:
- Interface with GSP to execute and administer various programs, including cell phones, food/beverage programs, office supplies, leased autos, and others purchasing duties as needed. This may include ordering and distributing the purchases to the correct party(ies).
- Vendor Management
- BCD Travel Administrator – Primary contact and trainer for BCD travel tool. Make travel arrangements (primarily international) for employees and guests as needed.
- Plan/manage/run all internal and external company meetings/events. Includes: Holiday party, Summer Picnic, Birthday celebrations, Manager’s Meeting, Board Meetings, State of the Business, National Sales Meeting etc. Includes negotiating with vendors and making event planning decisions.
- Manage front desk operations and appearance of our reception area. Includes answering phone as needed and managing the flow of visitors in the office.
- Ensure proper maintenance and stocking of conference rooms and equipment.
- Arrange and oversee office repairs and services. Manage desk assignments and any changes needed.
- Responsible for the managing a budget and to properly delegate costs to other budgets.
- Ensure new employee physical workspace is prepared prior to new employee starting.
- Employee Recognition Program Administrator
- Support/nurture employee engagement and recognition
- Manage monthly snacks
- Manage ordering of holiday gifts
- Coordinate with HR as required for the distribution of employee programs (new hires, holiday & anniversary gifts, etc), onboarding, employee engagement and satisfaction
- Receive, coordinate and distribute mail.
- Provide assistance to management team as an executive assistant; coordinate meetings, plan travel, send communication on behalf of executives, etc.
- Other duties and projects as needed.
What you bring:
- Previous experience as either an office manager or executive assistant is required.
- Experience influencing others and utilizing internal network to get things done.
- Microsoft Office experience
- Ability to handle confidential information
- Self-driven and highly motivated individual
- Time-management and organization skills
- Interpersonal Skills
