Job description
Our client is looking for an Office Manager
Manage general office procedures to ensure processes and duties in the office flow efficiently.* Help with the on-boarding and off-boarding process for all IT and office-related tasks.
- Work with facilities to ensure efficient office workspaces, including desks availability, IT setup, effective conference room booking, etc
- Develop and use up-to-date processes and technologies to enable the different teams of the company to work smartly with an emphasis on security.
- Perform general reception duties, including answering calls, scheduling appointments, booking meeting rooms etc.
- Manage mail inbox and postal correspondence.
- EA duties
- Handle health and safety as well as fire regulations within the office.
- Provide administrative support for the executive team as required.
- Manage the IT function of the company, both internal and external ensuring that requests are being dealt with appropriately and within a timely manner.
- Maintain and track all IT equipment, including software maintenance and asset list maintenance.
- Maintain and track all corporate licenses with various vendors, and work with supply chain and People to minimize costs associated with SaaS vendors.
- Resolve support tickets and generate reports as needed to keep track of the health of the organization and the progress of continuous improvement initiatives.
- Configure hardware systems, local servers, email accounts, as well as back-ups on IT devices as needed.
- Manage the cloud based storage systems to optimize efficiency of all teams and team members.

- At least 2 years of experience managing an office environment using IT / System Administration knowledge. * Prior office management experience * Experience using Microsoft tool suite, managing Windows and Mac computers, and general IT knowledge. * Excellent communication skills, both verbal and written to help (in person or remotely) support colleagues with their IT and system-related issues and internal and external stakeholders. * Experience in purchasing and processing purchase orders. * Creative and able to bring innovative ideas to the team. * Understanding of accounts and financial procedures/processes * Exceptional organisation skills * Ability to perform under pressure and use initiative
