Office Manager and Legal AdministratorLocation: Vancouver, BC
Salary Range: $75,000 – $80,000
Work Arrangement: Remote, with weekly in-office responsibilities (minimum two days per week) in downtown Vancouver for administrative tasks and team coordination.About the Company
Our client is a newly established organization in Vancouver, BC, founded by a highly experienced commercial and business litigator with nearly five decades of practice. The company specializes in facilitating mediation and arbitration sessions, connecting opposing counsel with skilled mediators across various legal fields.
They are seeking an Office Manager and Legal Administrator to oversee daily operations, ensuring a seamless experience for mediators and legal professionals. This role reports to the Marketing and Operations Lead.Key Responsibilities
Administrative & Office Management

  • Manage scheduling and track appointments with mediators and lawyers using the company’s online scheduling system.
  • Oversee email and phone communications (Office 365).
  • Maintain monthly business payables, billing for mediators, and general office services.

Legal Assistant & Paralegal Support

  • Facilitate the exchange of mediation and arbitration materials between legal counsel and mediators/arbitrators.
  • Assist in the signing and exchange of Mediation Agreements (not drafting).
  • Experience with legal documents and NetDocs is an asset.

Accounting & Bookkeeping

  • Set up and manage QuickBooks for bookkeeping, including:
  • Invoicing mediators
  • Accounts payable & receivable
  • Full-cycle bookkeeping & bank reconciliations
  • Payroll (for 1-3 employees)
  • Generating simple monthly financial reports for the President

Planning & Marketing Coordination

  • Collaborate with Marketing and the President to support various initiatives.

Technology & Systems Used

  • Website & Booking System: WordPress + OnceHub scheduling management
  • Document Management: NetDocs for arbitration & mediation documents
  • Office Software: Microsoft Office 365 (email, scheduling, communication)
  • CRM: Outlook & spreadsheets (no dedicated CRM software)
  • Phone System: Mobile phone (potential transition to a virtual system)
  • IT Management: Third-party IT consultant support
  • Accounting Software: QuickBooks or similar small-business accounting platform

  • Legal Knowledge – Familiarity with legal documents and processes.
  • Customer Service Excellence – Providing outstanding service to mediators and legal professionals.
  • Adaptability & Initiative – Ability to thrive in a small-team environment and contribute innovative ideas.

Experience & Qualifications
Education:

  • Legal Administrative Assistant (LAA) and/or Paralegal Program designation required.

Experience:

  • Previous experience in a legal administrative role.
  • Experience managing small business accounts payable, receivable, payroll, and reporting.
  • Proficiency with scheduling, document management, and accounting software.
  • Experience in a startup or entrepreneurial setting is an asset.
