Position Summary:
Reporting to the General Manager, GFCA, the Office Manager & Executive Assistant will make a positive contribution, enabling Griffith Foods Canada (GFCA) to continue to grow and operate in an effective, efficient and profitable manner. The incumbent will provide all required administrative support to the General Manager, GFCA and ensure security procedures and processes are in place and adhered to.Essential Duties & Responsibilities:Contribute to the culture of GFCA and engagement of its employees through the planning and organization of key company events and meeting series.Manages the General Manager’s schedule for internal and external meetings, conferences and other events.
Manage all aspects of the General Manager’s travel arrangements and proactively assists with changes and all cost savings initiatives.
Acts as a representative of the General Manager and Griffith Foods, using excellent judgment and professionalism in all dealings with internal and external customers, routinely following up and making decisions.
Manages the Reception and Security Specialist, including ownership of all performance management responsibilities, and assists with delegation and organization of administrative tasks.
Management of department expenses and ensures adherence to budget guidelines.
Provide Back-up to the Reception and Security Specialist as required.
Handle travel arrangements, prepare for executive employee visits, conference registration, membership renewals and catering.
Manages mailroom activities.
Act as a Emergency Evacuation Team Member.
Sharepoint contact for Canada Home Page updates.
Manage the 407-transponder program.
Support with the planning and execution of annual North American Management Team (NAMT) meeting that rotates between North American locations.
Create and submit Kaizen submissions for the Executive/Administration team.
Coordinate and submit responses to mandatory Statistics Canada surveys.
Manages email distribution list changes.
Monitors conditions of building internally and externally and submits repair tickets to the maintenance team as needed. Must also water office plants.
Proxy approver for backfills, team vacations, and ensure the General Manager approves new hires in the Human Resources Information System (Dayforce) and Powersteering.
Other duties as assigned.Qualifications:3-year College degree (specialized training in a recognized Community College program).
Minimum of 3-5 years of experience as an Executive Assistant.
Skilled in use of MS Office 365 and other commonly used computer programs.
Strong ability to communicate effectively with internal and external team members at all levels and tailor communication to the audience.
Must maintain tact, sensitivity, and confidentiality under challenging conditions and situations.
