The Opportunity:
The Office Support Assistant is a 100% twelve-month position and reports to the Program Manager I and is responsible for providing support for the day-to-day operation of the Student Support Services Office.
This position may be moved at management’s discretion within the President’s division to a commensurate level position as determined by the Vice President of the Ginsburg Center for Inclusion and Community Engagement.
Responsibilities:

Maintains administrative records, provides administrative support to staff, and performs clerical duties for the project.

Schedules appointments, room scheduling, updates staff calendars with weekly workshop/event details, and manages the calendar of the Program Manager, as needed.

Prepares materials, office correspondence, other publications, and detailed reports.

Prepares and maintains copier usage reports on a monthly basis.

Schedules equipment and office repairs as needed.
-
Contacts building maintenance and IT regarding office issues, maintains and verifies department annual equipment inventory/property; and serves as the property custodian.

Manages student files (paper and electronic).

Scans, sorts, and updates all student files as new services, requirements, and contacts are completed weekly.

Ensures accuracy of all paper and electronic filing.

Inputs all student contacts including workshops, events, staff meetings, tutoring contacts, and other student data in Blumen weekly and ensures accuracy; and archives and maintains all historical data.

Interviews, selects, supervises, trains, and assigns tasks to Student Office Assistants.

Other duties as assigned by Executive Director and the Program Manager I.
Minimum Qualifications:
High School Diploma or equivalent and 0+ years of relevant experience or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219(6)
Preferred Qualifications:
-
Prior budget experience.
-
Proficiency in Microsoft Office Suite.

Ability to handle high-volume work, and to prioritize and work efficiently.

Previous supervisory experience.

Special Instructions to the Applicants:
This is a Contract and Grant (C&G) funded position. The position is provisional and is grant funded through August 31, 2025, by the U.S. DOE.
