On Site Condominium Senior AccountantFirstService Residential is recruiting an On-Site Senior Accountant (“Condominium Senior Accountant”) who will report directly to the Board of a luxury Yorkville condominium (the “Condominium”). He or she will primarily be responsible for the efficient and effective operation of the financial accounting system of the condominium. The board of directors of the Condominium is looking for an experienced accountant with outstanding bookkeeping skills, and a strong understanding of financial statements and related reports, who will ensure that accounting and control systems for the Condominium are adequate to ensure the propriety of all expenditures, the complete and accurate recordation of all revenues and payables and accruals, and the complete and accurate recordation of all other transactions and balances in the books of account and related documents and systems.While the actual entries to the journals and ledgers, and the preparation of the monthly and other financial statements and budgets are physically prepared by the accounting staff of First Service Residential, the Condominium Senior Accountant will be responsible for ensuring that the inputs to the journals are complete and accurate, and that the outputted financial statements and related schedules and ancillary reports, as required, are accurate and suitable for the reporting and budgeting and control needs of the corporation.The Condominium Senior Accountant will therefore provide essential financial oversight, analysis, and review. The Condominium is carrying out a number of special projects enhancing the value of the building, and the Condominium Senior Accountant will assist in ensuring that the financial records, reports, and financial statements contribute to the control and propriety of the expenditures related to these projects, and providing the board with key information to promote their strategic planning and decision making. This is an accounting role that will exclusively support the Condominium.The Condominium Senior Accountant is responsible for the management and oversight of all financial matters affecting the Condominium. He or she will review the financial statements prepared by FirstService Residential and analyze them for accuracy. He or she will be required to understand all contracts entered by the Condominium Corporation to ensure that the related financial transactions and recording of those transactions are consistent with the budgets of the corporation and the contracts and obligations of the Condominium. All invoices processed by FirstService Residential will be reviewed and approved by the Condominium Senior Accountant.. The Senior Accountant may also be involved, as required, with the various tendering processes of the Condominium.In addition to the day-to-day financial oversight responsibilities, the board will look to the Corporation Accountant to prepare ancillary monthly board packages, including forward looking estimates and results against Key Performance Indicators in regard to operations and special projects.The Condominium Senior Accountant will have certain responsibilities with respect to the special projects of the Condominium, and will prepare separate financial reports as may be requested by the board of directors.This is a fast-paced environment, and it is essential the Senior Condominium Accountant have excellent time management and organizational skills. We are looking for a true professional; someone that can support a seasoned group of executives that form the board of directors of the Corporation.Duties & Responsibilities:

  • Review the Corporation’s financial statements monthly, and review for accuracy.
  • Work collaboratively with the FirstService Residential accounting team to achieve board of directors’ objectives.
  • Ensure that the entries to the journals of the Condominium Corporation, as maintained by FirstService, are accurate and complete, and that the invoices have been adequately approved by FirstService personnel, and that the outputs of the financial statements are consistent with professional standards and meet the needs of the board of directors in regard to propriety of financial transactions, and the efficient and effective financial operations of the condominium, including special projects.
  • Contribute to the completion of special projects as defined and requested by the board of directors, and in relations to financial controls, the making of related expenditures, and related reporting.
  • Maintain and update separate financial reports as may be required by Board of Directors This includes tracking for various projects, the budget and key project costs in Excel or a similar platform.
  • Review in detail and understand all contracts entered by the Corporation. Apply this knowledge to ensure financial reporting is accurate and useful in ensuring the proper execution of fiduciary responsibility by the board of directors for financial matters.
  • Review invoices for products and services received by the Corporation, for accuracy and validity. Determine if the invoice are properly prepared based on the relevant contractual obligations.
  • Monitor work in progress against contracts and budgets set at the onset.
  • Work collaboratively with the property management team to enable a high performing team in the deliverance of sound review and approval on procurement of products and services. Use this collaborative approach to aid the review of invoices, including the accurate coding and allocation of costs incurred in the general ledger.

Education & Experience:The successful candidate will have a minimum of 10+ years of operational accounting experience. Knowledge of the Ontario Condo industry is an asset.Knowledge, Skills & Proficiencies:

  • Strong background in preparing and maintaining financial reports using digital book-keeping software.
  • Knowledge and experience working with Yardi Voyager is an asset.
  • Proficiency in working within an organization with a strong internal control environment, as it relates to accurate financial reporting.
  • A well-organized team player with passion for customer satisfaction.
  • Be genuinely curious, and not hold back questions that are essential to achieve the objectives.
  • Strong interpersonal and communication (both written and verbal) skills are a must
  • Strong analytical, problem solving, and decision-making skills
  • Ability to balance different priorities and timelines
  • Knowledge in being able to understand complex contract arrangements and then practically accounting for such transactions.
  • At minimum a moderate understanding of MS Excel.
  • Proficient in working in a large organization with cross functional teams to deliver on objectives.
