The role of the Operations Admin Assistant at SHO involves supporting operational functions through Admin duties. These responsibilities include tasks like drafting access letters and compiling operation-related reports, which involve clearance and coordination with the EORE/NTS team. Additionally, the Operations Admin Assistant assists in arranging operational meetings, including tasks such as preparing agendas and taking minutes. Their support ensures the seamless operation of day-to-day activities by providing essential Admin assistance to the operational team. Moreover, will support the other support departments when required. the Operations Admin Assistant will perform the following duties:

Responsibilities:

  • The Operations Admin Assistant will guarantee that all employees across SHO have active access letters to ensure smooth operational functioning.
  • The Operations Admin Assistant will assist in preparing daily, weekly, and monthly reports for clearance and EORE/NTS teams as needed.
  • Support will be provided by the Operations Admin Assistant to the Operations Manager when necessary.
  • Ensuring up-to-date databases for the operations team and coordinating with all departments to achieve this will be a responsibility of the Operations Admin Assistant.
  • The operations Admin Assistant Will Coordinate Operations meetings, including preparing agendas, taking minutes, and distributing relevant documents.
  • The operations Admin Assistant Will Provide General Admin support to the operations team to ensure smooth functioning of the operations
  • The Operations Admin Assistant will write formal letters to the DMA and other officials when required.
  • Maintain Operations Filling are well archived and well maintained on the clouds (OneDrive).
  • Provide translation for documents as needed, including translations from Arabic to English and English to Arabic.
  • Ensure that all timesheets and leave records for operational staff are accurately completed, approved by supervisors, and submitted by the deadline.
  • Any Other Tasks Required by Lien Manager

Other Requirement:

  • Excellent communication skills in both English and Arabic.
  • Very Good English language skills(very good level).
  • Proficiency in Arabic (excellent level).
  • Strong knowledge of computer skills and Microsoft Office applications.
